About the Role Magma Math is looking for an Event Associate to lead the planning and execution of our hosted events. This role focuses on creating high-quality events that bring educators, administrators, and partners together, while also generating new leads, strengthening relationships, and growing our brand.

Responsibilities

Manage every step of hosted events, from small workshops to larger conferences. Oversee logistics including contracts, budgets, BEOs, catering, travel, and on-site coordination, and serve as the on-site lead to ensure smooth execution.

Build clear timelines and run‑of‑shows, collaborate with internal teams and speakers to develop relevant sessions and agendas, and design creative engagement strategies.

Negotiate contracts with venues and vendors to secure the best value while keeping budgets accurate and tracking spending, including handling post‑event invoices.

Collect feedback, review results, and suggest improvements for future events.

Drive revenue and leads by designing events with clear goals, working with sales and marketing to connect event participation to new opportunities, and tracking attendance, lead capture, and post‑event follow‑up.

Build and run marketing campaigns that drive event attendance via email, social media, and other channels; create event materials that highlight the value of attending; and capture and repurpose event content to extend reach and nurture leads.

What You’ll Bring

1–3 years of event management experience (corporate, education, or association events a plus).

Experience connecting events to revenue goals, lead generation, and brand building.

Strong skills in contracts, vendor management, budgets, and logistics.

Ability to design engaging agendas and event content.

Proficiency in marketing events to generate leads and nurture ongoing content.

Clear communication and negotiation skills.

Highly organized, detail‑oriented, and able to manage multiple projects simultaneously.

Willingness to travel for site visits and event management.

Proficiency with Microsoft Office (event software experience is a plus).
