Summary The Sales Coordinator is primarily responsible for proactively supporting and representing the sales department and sales managers as needed in a flexible, professional, and courteous manner. S/he will assist with clients, guests, and co-workers to ensure client expectations are met. The Sales Coordinator shall strive to provide exceptional service to both internal and external guests at all times. S/he will be responsible for exemplifying the Hotel’s Culture.

Essential Job Functions

Maintain complete knowledge of and comply with all departmental policies, service procedures, and standards.

Maintain positive guest relations at all times.

Assist the sales teams’ day-to-day activities.

Serve as sales and service support for Sales Managers by answering calls and qualifying all requests and inquiries.

Manage the detailing of banquet food, beverage, and setup needs, including menu planning, agenda setting, coordinating hotel meeting services, ordering audio visual equipment, determining hospitality amenities and special VIP requests.

Create BEOs and other related booking documentation as required.

Distribute BEOs to all departments based on Departmental SOPs.

Manage all BEO changes departmentally.

Manage arrangements for VIP clients.

Responsible for guaranteed cut-off dates, advanced deposit billing, and other logistical requirements.

Ensure accurate set-up of group billing and special requests.

Communicate and work with Food & Beverage, Front Desk and Housekeeping teams as appropriate to ensure client satisfaction.

Assist sales managers to create group resumes and communicate client needs to all departments of the hotel.

Keep informed on current industry trends, regarding food and beverage, meeting coordination, client service, and client business needs.

Assist with long‑range sales and marketing strategies to optimize revenue and profitability.

Assist with arranging and conducting special events, site inspections, and off‑site presentations for potential clients.

Maintain client records and update information daily in accordance with established departmental policies and procedures.

Promote teamwork and quality service through daily communication and coordination with other departments.

Adhere to hotel requirements for guest/employee accidents or injuries and in emergency situations.

Perform any projects assigned by Sales Manager, Director of Sales, Executive Committee member or Corporate Staff.

Qualifications

Must be a United States citizen or possess a valid work permit.

Must be able to read, write, and speak English.

Must have exceptional communication skills.

Must be able to accurately follow instructions, both verbally and written.

Must have basic computer skills including Microsoft Office.

Mathematical skills, including basic math, budgeting, profit/loss concepts, percentages, and variances are utilized frequently.

Must be detail‑oriented and work well under pressure.

Must be able to work in a fast‑paced environment.

Organizational skills, including time management, prioritizing, detail‑oriented.

Must be professional in appearance and demeanor.

Must be able to work a flexible schedule that may include evenings, weekends and holidays.

Must have the ability to deal effectively and interact well with employees.

Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner.

Must possess strong motivational, organizational and verbal communication skills.

Ability to travel to attend workshops, tradeshows, conventions, etc.

May require a Driver’s License.

This is an on‑site position.

Working Conditions

Must be able to sit for long periods of time.

Must be able to frequently stand up or move within and outside the facility.

Must be able to carry or lift items weighing up to 50 pounds.

Must be able to perform simple grasping, fine manipulation, and repetitive hand & arm movements consistent with office work.

Must be able to frequently handle office supplies and equipment to maintain the facility.
