Job Summary

The Department Coordinator supports day‑to‑day operations of Residence Life and Housing by centralizing administrative functions, streamlining communication, and enhancing customer service. This position assists with case management for the CARE Team, provides administrative support for Student Conduct and Title IX, and serves as the primary administrator for the StarRez and Maxient systems.

Responsibilities

Serve as the primary point of contact for housing inquiries, responding to students, parents, and campus partners.

Manage shared office systems, including inboxes, calendars, and phone coverage.

Coordinate purchasing and procurement, including invoice tracking and supply inventory with the Business Office.

Maintain organized digital and physical records in compliance with institutional policies, FERPA, and retention standards.

Serve as the departmental administrator for StarRez and Maxient, managing data entry, report generation, and user training.

Provide administrative support for Student Conduct and Title IX, scheduling hearings and maintaining case records.

Support the CARE Team with case tracking and coordination of student support resources.

Develop and distribute housing communications, such as email campaigns and marketing materials.

Perform related duties as assigned.

Required Qualifications

Associate degree in business administration, education, or a related field, or equivalent education and experience.

Strong organizational, communication, and interpersonal skills.

Background check/position of trust.

At least two years of experience in administrative or student services support.

Preferred Qualifications

Experience in higher education.

Bachelor’s degree.

Knowledge of office administration, record management, student‑services operations, FERPA and confidentiality requirements.

Excellent written and verbal communication skills.

Strong attention to detail, ability to prioritize and manage multiple tasks.

Ability to work both independently and collaboratively.

Conditions of Employment

Successful completion of background investigation and legal authorization to work in the US.
