Parks, Recreation, and Events Department
This position is a responsible administrative position dealing with coordination of contracts for outside clients who wish to organize various rental events and programs through the Parks Recreation and Events Department. An employee in this position is responsible for booking and coordination of contracts for event rentals at all Columbia County Parks. This person must be a self-motivated conscientious and organized; must have budgetary knowledge. This person must also have experience in public relations and program skills. An employee in this class is also responsible for other work assignments given to them by the Park Operations Manager. This person must exercise independent judgment and ingenuity in accomplishing rental objectives and interpreting the needs and desires of clients. Work is typically performed sitting, standing, walking, stooping, bending or crouching and requires frequent lifting of light objects and occasional lifting of heavy objects. Employee must be able to climb ladders, distinguish among shades of color, and exhibit manual dexterity. Work is performed in an office or stock room and outside where the employee is exposed to cold, heat and inclement weather. Employee is exposed to dirt, dust, and noise. Contacts are typically with co-workers in recreation, other county departments, concert, festival and event promoters, community organizations and civic clubs, part‑time and volunteer helpers and the general public. Duties may require evening, weekend and holiday work due to scheduling special event activities. Bachelor’s degree required in Parks/Recreation/Event Management, Marketing or Public Relations or a related field, and a minimum of five years of related experience preferred. Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one to five years of experience or service. Possession of or the ability to readily obtain a valid driver’s license. NATURE AND SCOPE
Successful performance in this position helps to assure the delivery of safe and enjoyable special rental event activities within the county. PRINCIPAL ACCOUNTABILITIES
Fields initial inquiries, facilitates contracts, gathers payment and additional paperwork, and supervises on-site during various rental events. Conducts on-site tours of venues and facilities, answering questions and assisting preliminary set‑up planning by potential renters. Works with CCSO to assure proper deputy coverage for all events; checks and confirms proper insurance coverage in accordance with contract requirements. Checks for all necessary permitting and licensing, to include, but not limited to, county business licenses, food handling permits and alcohol licenses. Creates and maintains databases, diagrams, maps and technical sheets frequently requested by renters. County-wide, acts as a primary contact for, receives and facilitates, all Race, Parade & Assembly permits in a timely manner (not just park usage/rental.) Serves as Parks Recreation and Events liaison to IT and GIS departments. Creates invoices and maintains billing for ticket sales at events. Performs collections as necessary. Oversees set up, load in, and break down of rental events. Clearly communicates needs for additional personnel and/or resources to various county departments. Attends schools, workshops and related meetings and seminars as required. Maintains a complete record system of activities conducted, participation and any accident reports. Performs other related duties as assigned. Skill in motivating and directing individuals Skill in the operation of computer, copier, van, public address system and other related equipment. DESIRABLE TRAINING AND EXPERIENCE
Bachelor’s degree required in Parks/Recreation/Event Management, Marketing or Public Relation or a related field, and a minimum of five years of related experience preferred. Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one to five years of experience or service. Possession of or the ability to readily obtain a valid driver’s license. A combination of education and/or work experience may be substituted for minimum requirements. KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of the Principles of Special Event Coordination. Knowledge of First Aid and Safety Regulations. Skill in written and oral communication.
