About the Position Citadel Security USA is hiring a full-time Human Resources Generalist to provide administrative, recruiting, and onboarding support for our Owensboro operations. This role supports a fast‑paced private security environment where accuracy, confidentiality, and strong time management are essential. You will work closely with both HR and Operations leadership to ensure that hiring, compliance, and personnel processes run smoothly.
Key Responsibilities Administrative & Office Support
Provide administrative and clerical support including correspondence, filing, typing, and research
Use cloud‑based collaboration tools such as Microsoft Teams
Create detailed spreadsheets, Word documents, and PowerPoint presentations
Manage complex administrative tasks, deadlines, and follow‑ups
Answer, screen, and transfer inbound phone calls; relay messages accurately
Greet and direct visitors, candidates, and clients
Perform general office duties including photocopying, mailing, and scanning
Maintain electronic and hard‑copy filing systems and retrieve documents as needed
Prepare responses to routine inquiries and support daily communication tasks
Coordinate meetings, appointments, and internal schedules
Maintain office supply inventory and support office equipment needs
Recruiting & Applicant Processing (Security Industry)
Navigate the company’s applicant tracking system to review incoming security officer applications
Conduct applicant screening calls, update system statuses, and enter interview notes
Schedule candidates for interviews, orientations, and training sessions
Complete background check steps and ensure compliance with company hiring standards
Provide regular updates to the HR Manager regarding recruiting needs and applicant flow
Onboarding & Compliance
Navigate the company’s onboarding platform to initiate new hire documentation
Send onboarding instructions and track completion of new hire paperwork
Collect government‑issued identification for Form I‑9 verification
Complete all Form I‑9s through the company’s I‑9 management system
Ensure successful transfer of employee information into the company’s scheduling system
Notify HR and Hiring Managers once candidates are fully onboarded
Support compliance requirements relevant to the private security sector
Employee Support & Operations Coordination
Ensure employee profiles remain accurate (photos, phone numbers, permissions, skills, notes, etc.)
Assist employees with scheduling updates, availability changes, time‑off requests, and mobile app access
Document tasks and provide updates to both the General Manager and HR Manager
Support day‑to‑day needs of field operations and assist with employee communication
Perform other duties as assigned
Required Qualifications
High school diploma or GED
1‑3 years of experience in an administrative, HR, or similar role
Strong communication skills (written and verbal)
Proficiency with computers and standard office software
Knowledge of office procedures, filing, and basic administrative systems
Strong attention to detail and accuracy
Ability to work professionally in a fast‑paced, customer‑service‑driven industry
Reliable, punctual, flexible, and a strong team player
Preferred Skills
Experience in HR within a service‑based, staffing, or security‑related industry
Comfort working with applicant tracking systems and onboarding platforms
Ability to handle confidential information with sound judgment and discretion
