Location:

Primarily remote (online), with occasional in-person involvement in the Twin Cities area (Minnesota) from April to October

Commitment:

5-12 hours per month

Overview Join our team at The Dragonfly Project as an Event Coordinator Volunteer and help us bring awareness and support to those navigating grief. This role will allow you to contribute to meaningful events that foster community connections while gaining valuable experience in event planning and volunteer coordination.

As an Event Coordinator Volunteer, you will assist a board member with gathering information about grief-related events, sharing this information with the board, and coordinating participation at these events. You’ll also collaborate with the Volunteer Coordinator to recruit and manage volunteers who will represent our organization at these events.

Key Responsibilities

Event Research and Coordination:

Help identify grief-related events in the Twin Cities area (Minnesota) that align with our mission.

Research and gather event details (dates, locations, themes, etc.), then share this information with the board of directors.

Assist in scheduling the organization’s participation in selected events.

Volunteer Coordination:

Work closely with the Volunteer Coordinator to recruit volunteers for events.

Reach out to current and potential volunteers, keeping them informed about upcoming events and the roles they can play.

Assist in managing volunteer schedules for events.

Event Setup and Participation:

Help coordinate the setup of a booth or table at in-person events, providing information about TDP and offering literature and cards, including donation options, if applicable.

Serve as an event representative when participating in events, engaging with attendees and providing helpful information about grief support.

Ensure that all event materials (brochures, flyers, donation cards, etc.) are well-stocked and ready for distribution.

General Support:

Assist with any administrative tasks related to event planning, including communication with event organizers, volunteers, and board members.

Stay in regular communication with the board to keep them updated on progress and event outcomes.

Qualifications

Commitment:

Able to dedicate 5-12 hours per month (with flexibility around occasional in-person events).

Skills:

Strong organizational and time-management skills.

Comfortable using digital tools (email, spreadsheets, Google Docs, etc.) for event coordination and communication.

Excellent written and verbal communication skills.

Ability to work independently and as part of a team.

Experience (Preferred but not required):

Previous event coordination or volunteer experience is a plus.

Interest or experience in grief support, mental health, or community outreach.
