What We're Looking For
Under the supervision of the Operations Coordinator, the Payment Specialist is responsible for managing and tracking financial transactions, vendor payments, and compliance documentation to support program operations. This role ensures timely and accurate processing of payments, monitors service contracts, and assists in financial reporting to maintain regulatory compliance. The Payment Specialist serves as a liaison between vendors, program staff, and the finance department to streamline fiscal operations.
Responsibilities/Essential Functions
Process, track, and verify vendor payments, ensuring alignment with Head Start financial regulations. Maintain and update financial records, service agreements, and procurement documents. Assist in monitoring service contracts to ensure compliance with agreed terms and performance standards. Support financial reporting by compiling and analyzing payment data for audits and reviews. Coordinate with Operations and Compliance staff to track and document expenditures.
Education & Experience
High school diploma or equivalent required; some college coursework in business, accounting, or a related field preferred. Two years of experience in financial administration, payment processing, or procurement. Experience in a nonprofit, government-funded program, or Head Start setting preferred.
Special Requirements
Must possess a valid California driver's license and have access to reliable transportation. Must meet state health requirements, including TB clearance and physical examination. Mandatory CPR and Basic First Aid certification (employee is responsible for maintaining certification). Fingerprint clearance and background check required before hire.
