Overview We are seeking an experienced and proactive Legal Assistant to support a Real Estate practice group in a Chicago-based office. The ideal candidate is resourceful, detail-oriented, and thrives in a collaborative environment, providing high-level administrative and transactional support to attorneys handling complex commercial real estate matters. This role offers the opportunity to build strong internal and client relationships while contributing to high-quality work in a fast-paced professional setting.

Responsibilities

Edit, format, and proofread legal and transactional documents in Microsoft Word and Excel, including applying styles, headings, and formatting consistency

Submit new matters for intake and conflict checks

Process and maintain daily time entry

Support attorneys with matter administration and client billing, including following client billing policies and procedures

Coordinating with client administrative personnel

Reviewing and editing pre-bills

Assist attorneys with preparation for commercial real estate closings

Prepare and organize closing binders and follow up on post-closing requirements

Assist in creating and editing PowerPoint presentations

Maintain strict confidentiality related to firm and client matters

Manage attorney calendars, scheduling, and logistics, including appointments and meetings, conferences and travel arrangements, and expense reimbursements

Requirements

3–5 years of legal secretarial or legal assistant experience in a real estate environment, including support through all phases of real estate closings

Strong organizational skills with the ability to prioritize multiple tasks and meet competing deadlines

Excellent communication and client service skills

Advanced technical proficiency required, including strong working knowledge of Microsoft Word, Excel, Outlook, iManage, and Aderant

Highly detail-oriented, proactive, and collaborative with a willingness to take initiative and learn new tasks

Experience supporting major institutional investors and commercial real estate transactions is a plus

Knowledge of legal and real estate terminology is a plus

High School Diploma required; additional education and/or professional certification preferred
