Summary
We are seeking a highly motivated and detail-oriented individual to support the marketing manager with department administration, coordination, and workflow management. The Marketing Assistant will play a key role in organizing daily activities, managing communication flow, coordinating requests, and ensuring smooth operational processes across all LDF BDC business units.
Key Responsibilities Department Administration & Coordination
Schedule meetings, appointments, and departmental activities.
Record meeting minutes and distribute summaries and action items.
Manage department project tracking tools to keep deadlines and tasks on schedule.
Oversee the initial intake and triage of marketing requests from all business units.
Support the marketing manager with workflow organization and general administrative duties.
Communication Flow & Website Updates
Post routine website updates such as document uploads, hours changes, announcements, and notifications.
Assist in coordinating internal communications between departments and the marketing manager.
Vendor Coordination & Purchasing
Communicate with vendors for quotes, timelines, orders, and service status.
Process vendor invoices and coordinate routing for payment.
Assist with department purchasing including printing, signage, swag, branded materials, and supplies.
Inventory & Materials Management
Track and maintain inventory of marketing collateral, print materials, signage, and promotional items.
Organize marketing supplies and ensure materials are stocked and distributed as needed.
Data Entry & Department Tracking
Enter and maintain data across departmental systems and shared platforms.
Log and track donation and sponsorship requests and communications.
Assist in gathering documentation for departmental reporting or administrative needs.
Process Support
Manage the project intake form system to ensure requests are correctly documented and routed.
Assist with tracking tasks, updating spreadsheets, and organizing workflows.
Provide general support to the marketing manager as needed.

Supervisory responsibility: This position does not have direct supervisory responsibilities.
Work Environment This job operates in a professional office environment. Standard office equipment such as computers, phones, and photocopiers will be used regularly.
Physical Demands
Prolonged periods sitting at a desk and working on a computer.
Occasional light lifting of marketing materials or supplies.
Position type / Expected hours of work
Full‑time position.
Monday to Friday.
Hours: 8:00 a.m-last 4:30 p.m.
Attendance at mandatory meetings and trainings is required.
Travel: Occasional travel within the LDF service area may be required.
Required Education and Experience
High school diploma, GED, or equivalent.
1 year of administrative or office coordination,还有 borne possibly in marketing or communications environment.
Proficiency in MS Office Suite (Word, Excel, PowerPoint); basic experience with Adobe or Canva preferred.
Strong written and verbal communication skillsabe.
Ability to work effectively within a team environment.
Preferred Qualifications
Associate’s degree in Marketing, Communications, Business, or related field.
2 years of administrative experience in marketing, communications, or related functions.
Experience may be considered in lieu of education.
Native American preference will be applied to hiring of this position as defined in Title 25, U.S. Code, Chapter 14, Subchapter V, subsection 273 & 274.
