Sales Administrator

The Sales Administrator will support the Sales team out of our Irving, TX office. This is an in-office position. Essential Functions

Prepare Projects in AQ for Bids: Prepare projects in AutoQuotes (AQ) with complete customer details, job address, and assigned salesperson. Request, receive, and import quotes from factory representatives and subcontractors into AQ. Apply appropriate discounts, freight costs, and installation line items (hood, walk-in, and equipment installation). Set up footnotes, exclusions, and complete bid questionnaires. Assist DSRs in finalizing and assembling bid packets. Prepare change order quotes in AutoQuotes. Submittals: Assist in preparing complete submittal packages for GCs or customers, including: Cut sheet books Custom shop drawings Electrical and plumbing rough-in drawings Project questionnaires Request custom shop drawings from factories and coordinate subcontractors for rough-in drawings. Review all submittals and shop drawings for accuracy prior to submission. Track submittal status: Approved / Approved as Noted (AAN): Ready for PO release Rejected / Revise and Resubmit (R&R): Revise and resubmit until approval (within two-week timeline) Utilize the Submittal Check-Off List to ensure compliance with procedures. Save all documentation to the Singer T&L server folders. PO Review Before Releasing: Review AQ against approved submittals for accuracy prior to PO release. Verify quantities, pricing, model numbers, accessories, hinging, gas type, and voltage. Confirm all approved submittal mark-ups are reflected on POs. Prepare and issue POs to factory representatives. Use the PO Check-Off List before final release. Other potential job duties: Monitor ConstructConnect for new project opportunities and distribute to DSRs. Assist in obtaining order acknowledgements after PO release. Coordinate RMAs for equipment returns. Place service calls for jobsite equipment repairs Minimum Qualifications

High school diploma or equivalent College degree preferred Computer literacy/technological skills 5+ years' experience in the food service industry Experienced with Microsoft Office applications, Excel, and AutoQuotes Desire to become a member of a dynamic team Goal-oriented and driven self-starter who can work in a high paced environment independently or with a team Candidates are encouraged to apply even if they do not meet all listed requirements.
