The Assistant Director of Clinical Operations works collaboratively with the Director of Clinical Operations to implement strategic initiatives, support clinical supervisors and staff, and ensure consistency in clinical standards and workflows. The ideal candidate is an organized, forward-thinking leader who is comfortable leveraging technology—including electronic health records, online learning platforms, and data tracking tools—to support service delivery, training implementation, and operational efficiency. Emphasizing collaboration, accountability, and problem-solving, this position plays a key role in supporting clinical leadership, reinforcing standards, and contributing to the ongoing development of Alliance’s clinical services and team. This full-time role that requires regular travel to Alliance Counseling Associates’ various office locations.

Description Duties/Responsibilities:

1. Clinical Leadership & Service Delivery

Maintain an active clinical caseload to remain connected to client needs and service delivery standards, with an expectation of billing

16 or more clinical hours weekly . Clinical productivity will be monitored, and if expectations are not consistently met, salary alignment may be reevaluated.

Provide consultation and leadership coverage for lower-risk and high-acuity cases when supervisors are unavailable.

Support crisis response and assist with incident review, documentation, and follow-up.

Assist with client-flow coordination and solutions for complex or high-acuity cases.

2. Staff Oversight, Supervision & Support

Assist with day-to-day oversight of supervisors and clinical staff, including task follow-ups and operational support.

Address routine staff concerns, scheduling needs, and clinical questions.

Participate in hiring, interviews, onboarding, and staff transitions.

Review and approve bi-weekly timesheets for assigned staff and flag concerns to the Director.

Assist with performance management processes including coaching, LOEs, PIPs, and corrective actions.

Provide leadership presence during clinical or operational situations when supervisors are unavailable.

3. Compliance, Risk Management & Quality Improvement

Assist with monitoring clinical compliance, documentation standards, and regulatory requirements.

Prepare and organize documentation for audits, accreditation, and payer reviews.

Conduct routine chart audits and assist with KPI tracking and data pulls.

Perform initial incident reviews and ensure reporting timelines are met.

Support corrective action implementation and follow-up.

Assist the Director with client grievances and quality-related concerns.

4. Training, Resources & Operational Improvement

Assist with implementation and distribution of clinical trainings, CEUs, and operational resources.

Gather staff feedback and performance data to support workflow efficiency and resource improvement.

Support onboarding and training implementation when the Director is unavailable.

Assist with AntiBurnout Academy and CEU logistics, including tracking, formatting, and communication.

5. Program Operations, Growth & Community Engagement

Support operational needs for the RISE Program, including communication, crisis support, and implementation of approved changes.

Manage day-to-day operations of the Internship Program, including onboarding, scheduling, coordination with schools, and reporting.

Coordinate logistics for program expansion, new initiatives, and service growth.

Develop and maintain community partnerships to increase referrals and visibility.

Represent Alliance Counseling Associates at community events, coalition meetings, and outreach activities.

Attend and support supervisor, program, and leadership meetings; lead meetings when the Director is unavailable.

Monitor program communication channels and respond to day-to-day operational inquiries.

Follow up on action items from leadership and program meetings.

Provide data, reports, and operational follow-through to support Leadership Team decisions.

Support cross-department communication, system updates, safety procedures, and emergency preparedness efforts.

Qualifications and Skills

:

Alignment with Alliance Counseling Associates’ mission and values.

Active LPCC-S or LCSW license in Kentucky

WITH

supervisor status.

Prior experience in private practice settings, especially in leadership roles, is preferred.

Expertise in clinical documentation to include complete understanding of the golden thread, diagnostics, intervention and modality language, treatment planning using SMART goals, assessment, screening and outcomes measures.

Adherence to and understanding of evolving regulations.
