The Production Coordinator supports the end-to-end production process of fashion jewelry collections, ensuring purchase orders, production schedules and shipments are managed accurately and efficiently while upholding internal quality standards and brand expectations. It also involves inspecting finished goods, tracking quality metrics, collaborating with production and vendor partners, and maintaining accurate records. You’ll help uphold product excellence in a fast-paced fashion jewelry environment.

Key Responsibilities Production & Scheduling

Develop, update, track and maintain production schedules, open order reports, WIP reports, and customer online portal trackers.

Proactively flag potential delays and work with internal teams and factories to resolve issues

Support the Senior Production Manager with day-to-day production activities and requests

Collaborate with internal teams and external vendors to resolve quality concerns and drive process improvements.

Communicate specifications, quantities, timelines, and changes clearly and accurately

Follow up on sampling, PP samples, TOP samples, approvals, production progress, and shipments

Support vendor discussions related to timelines, MOQs, and production requirements as needed

Quality Control & Compliance

Coordinate and track PP and TOP samples from the sales team and factories

Inspect and evaluate incoming and finished jewelry products for defects in craftsmanship, materials, plating, stones, clasps and overall appearance to maintain high quality standards

Proactively address and resolve quality issues in collaboration with factories and internal teams.

Work with the Senior Production Manager to resolve failed testing reports quickly and effectively

Ensure all products meet company quality standards, safety requirements, and compliance guidelines

Assist in developing and updating QC procedures and best practices.

Gather, organize, and submit all QC, testing, and compliance documents from factories as required by customers.

Maintain accurate records for styles, vendors, production runs, and chemical testing documentation including photos, notes and feedback.

Ensure carding and ticketing are properly ordered for each Purchase Order.

Manage inventory tracking and reporting.

Logistics & Delivery

Coordinate with the Shipping Assistant to ensure awareness of any changes to factory order-ready dates.

Coordinate in-house reticketing and repacking of merchandise when required.

Track shipments and confirm on-time delivery to company’s warehouse.

Qualifications

Bachelor’s degree preferred (fashion merchandising, supply chain, or related field a plus)

1–3+ years of experience in production, sourcing, or supply chain; fashion jewelry or accessories experience required

Strong organizational skills with the ability to manage multiple styles, vendors, and deadlines simultaneously

Excellent written and verbal communication skills

Proficiency in Excel and production tracking systems; PLM experience a plus

Detail-oriented with strong follow-through and problem-solving abilities

Comfortable working with overseas vendors across multiple time zones

Demonstrates strong ownership and accountability for production timelines, quality, and deliverables

Communicates clearly, professionally, and proactively with internal teams and vendors

Maintains exceptional organization and attention to detail across multiple styles and deadlines

Upholds brand quality standards while balancing cost and timing considerations

Responds quickly and effectively to issues with a solution-oriented mindset

Manages time well, remains responsive, and adapts to changing priorities

Acts with professionalism, integrity, and respect in all interactions

Seeks continuous improvement and contributes to more efficient production processes
