Overview
The Multi-Family Sales Account Coordinator provides critical administrative, coordination, and operational support to the multi-family sales team. This role works closely with outside and inside sales representatives, estimators, operations, and customers to ensure projects move smoothly from bid through delivery. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple projects in a fast-paced, deadline-driven environment. Responsibilities
Provide administrative support to outside sales, inside sales, and estimators Prepare, process, and track quotes, bids, proposals, and sales orders Maintain accurate order entry and updates in the ERP system Coordinate pricing, takeoff, and scope revisions Assist with project setup, documentation, and customer information Track bid deadlines, project milestones, and timelines Coordinate order releases, backorders, and change orders Communicate order status, deliveries, and schedule changes Maintain organized project files Serve as a liaison between sales, purchasing, inventory, manufacturing, and delivery teams Support delivery coordination and jobsite requirements Assist with resolving order discrepancies, shortages, and billing issues Maintain customer, pricing, and project data in CRM/ERP systems Run basic sales, backlog, and project status reports Track awarded and lost bids and assist with follow-up Prepare submittals and support contract and compliance documentation Qualifications
Strong organizational skills and attention to detail Ability to manage multiple projects in a fast-paced environment Strong communication skills with internal teams and customers Experience with Bistrack and Microsoft Office (Excel preferred) is a plus Knowledge of construction or building materials terminology is a plus
