We are currently assisting our client, a private family office, with the search for a Personal Assistant.
Position Overview
We are seeking a highly skilled, warm, and discreet professional to provide comprehensive administrative and personal support to our principals. This is a trusted role that combines high-level administrative responsibilities with hands-on personal and property support, ensuring seamless operations and an exceptional experience for family members and guests. The ideal candidate brings meticulous attention to detail and approaches their work through a concierge lens, with the ability to understand, anticipate, and proactively meet client needs. Strong calendaring and travel planning skills are essential, including experience coordinating chartered flights and working with FBOs. Excellent judgment, flexibility, and a commitment to confidentiality are critical, as is the ability to remain calm, organized, and proactive in a fast-paced environment. This role is primarily office-based with some in-home responsibilities. Flexibility for occasional evening and weekend support is required. Administrative Support
Coordinate comprehensive travel arrangements and detailed itineraries Serve as liaison for communications, correspondence, and scheduling Handle confidential matters with discretion and sound judgment Provide personal assistance, including errands, household coordination, and pet care Process expenses, manage mail flow, support accounting functions, and drive projects Property & Hospitality Support
Collaborate with property management teams to ensure residences are guest-ready and impeccably maintained Assist estate teams with client and guest visit preparations, including preferences, travel, and arrival preparations. Coordinate multiple family member travel and grocery lists for the estate team. Manage vehicle and watercraft registration. Experience & Skills
5+ years supporting high-net-worth individuals, executives, or families in estate management, executive assistance, or similar capacity Exceptional organizational abilities with a proven track record in managing competing priorities Outstanding written and verbal communication skills Advanced problem-solving capabilities and resourcefulness under pressure Comfort with ambiguity and ability to pivot quickly as needs evolve Proficiency in Microsoft Office Suite and fundamental accounting principles Notary Public certification strongly preferred Valid Washington State driver's license required Ability to pass comprehensive background and reference checks Discretion & Integrity: Unwavering commitment to confidentiality and ethical conduct Sound Judgment: Makes wise decisions independently, knowing when to act and when to consult. $110,000 - $140,000 Benefits
