A warm, fast-moving East Bay family is seeking an exceptionally organized, discreet, and service-driven Personal Assistant to help keep their busy lives running seamlessly. Reporting to the Chief of Staff, this role is ideal for someone who thrives on anticipation, enjoys variety, and brings a calm, solutions-oriented mindset to complex logistics. You’ll be a trusted partner in managing schedules, travel, events, and daily life—ensuring the household operates smoothly and proactively.

Responsibilities
Manage complex family calendars, appointments, and activities across time zones Plan and coordinate domestic and international travel (private and first-class commercial), including visas and detailed itineraries Handle registrations for children’s activities, camps, memberships, and renewals Plan and execute family events, celebrations, and holidays (catering, florals, gifting, guest logistics) Support special projects with research, coordination, and follow-through Provide hands-on personal support: errands, shopping, wardrobe, and gift sourcing Track receipts, invoices, and household records in the estate management system Manage personal property needs (e.g., vehicle maintenance and servicing) Oversee household inventory in partnership with staff Organize mail and packages Collaborate closely with the household team (Chief of Staff, Estate Manager, etc.) Flexibility to travel occasionally to non primary residences within the Bay Area Qualifications
7–10 years of Personal and/or Executive Assistant experience, ideally in a private household Exceptionally organized with strong attention to detail and anticipation skills Adaptable, calm under pressure, and able to pivot across priorities High EQ with a warm, professional, and gracious demeanor Proactive, self-directed, and solutions-oriented Demonstrates the highest level of discretion, integrity, and confidentiality Tech-savvy: Google Workspace, Microsoft Office; familiarity with estate systems (e.g., Nines) a plus Valid driver’s license and reliable transportation Excellent references and a clean background check Location
East Bay (+ Northern California residences) Compensation
140-175K DOE + package + PTO Schedule
