The Contracts & Proposals Coordinator at Golden Stones supports the sales and operations teams by coordinating, preparing, and tracking contracts, proposals, and bid documentation. This role ensures accuracy, organization, and timely submission of all proposal and contract materials while maintaining compliance with company standards. Key Responsibilities
Coordinate the preparation and submission of sales proposals, bids, and contract documents Gather pricing, scope, and supporting documentation from sales, estimating, and operations teams Ensure proposals and contracts are complete, accurate, and submitted by required deadlines Maintain organized records of proposals, contracts, amendments, and related documentation Track proposal status, approvals, awards, and expiration dates Assist with contract review by identifying missing information or inconsistencies Support change orders, contract updates, and renewals as needed Communicate with internal teams and external partners regarding proposal requirements Maintain proposal templates and standardized contract documentation Provide reporting and administrative support related to proposal and contract activity Qualifications
High school diploma or equivalent required; associate’s or bachelor’s degree preferred Experience in administrative coordination, proposals, contracts, or sales support preferred Experience in construction, stone, or building materials industries is a plus Strong attention to detail and organizational skills Effective written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook); CRM or contract management software a plus Ability to manage multiple priorities and deadlines Document coordination and management Time management and prioritization Professional communication Accuracy and quality control Problem-solving and follow-through Office-based position with frequent collaboration across departments Fast-paced environment with strict deadlines Competitive hourly or salaried compensation based on experience Health, dental, and vision insurance Paid time off and holidays Career growth opportunities within Golden Stones Physical Job Requirements
