The Brokerage Coordinator provides critical operational, administrative, and marketing support to fee-earners by managing key processes, coordinating cross-functional deliverables, producing client-facing materials, and ensuring accuracy and timeliness across all transactions. This role requires strong project management skills, exceptional attention to detail, and the ability to communicate effectively with internal teams and clients.
Job Description
Essential Duties & Responsibilities
Project & Process Management
Manage and maintain internal databases, tracking systems, and document repositories.
Oversee content creation workflows, ensuring alignment with timelines and production cycles.
Coordinate cross-departmental collaboration based on fee-earner needs (Marketing, Research, Financial Analysts, Leadership).
Support the timely execution and delivery of client-facing and internal deliverables.
Provide sales and deal support from pitch development through transaction close.
Pitch & Proposal Coordination
Manage end-to-end coordination for pitch and proposal development.
Partner with Marketing, Research, and Financial Analysts to create, refine, and deliver pitch materials.
Assist with design and production of presentations and marketing collateral.
Marketing & Collateral Production
Populate template documents including tour books, flyers, brochures, and property marketing packages.
Create or assist in designing marketing materials such as:
Pitch presentations and proposals
Property flyers and brochures
Marketing e-blasts and event invitations
Tour books and floor plan/stacking plan updates
Deal Support & Documentation
Abstract leases and draft proposals under the direction of C&W real estate professionals.
Compile data for periodic landlord leasing activity reports.
Organize and track transaction documentation (confidentiality agreements, leases, listings, contracts, closing docs, etc.).
Prepare deal-related documents for review, approval, and delivery.
CRM Management
Enter and update leads, opportunities, and client information within the CRM.
Maintain accurate and organized client contact lists.
Administrative Support
Schedule client meetings, coordinate logistics, and arrange travel for fee-earners.
Prepare expense reports and assist with calendar management.
Support planning and execution of fee-earner-hosted events.
Perform other administrative duties as required.

Background & Experience
Bachelor's Degree preferred; degrees in Business, Marketing, Communications, or Finance.
3+ years of experience in a professional business environment or equivalent education.
Experience supporting executive or senior-level professionals preferred.
Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).
Intermediate knowledge of Adobe InDesign, Photoshop, and Salesforce

The compensation for the position is: $25.13 - $29.57
