Overview This is a Special Appointment position, and serves at the pleasure of the Appointing Authority.

GRADE: 15

LOCATION: World Trade Center, 401 East Pratt Street, Baltimore, MD 21202

Responsibilities

Serve as Executive Assistant to the Deputy Secretary of Policy and Stakeholder Engagement, managing complex executive priorities across the department.

Coordinate meeting preparation, including material preparation, contact coordination, staff support confirmation, and calendar management.

Maintain detailed call logs, contact lists, and transcribe voicemail messages for timely customer inquiries.

Process procurement items through the Department of Budget and Management’s Financial Management Information System (FMIS), ordering office supplies, business cards, subscriptions, and maintaining accurate audit records.

Work independently, handle multiple concurrent high-priority projects, and interact with high-level public and private officials.

Proficient use of Microsoft Office Suite, Google Suite (Mail, Docs, Sheets, Calendar), or other relevant software.

Minimum Qualifications

High school diploma or high school equivalency certificate.

One (1) year of administrative staff or professional work experience.

Substitute 30 college credit hours from an accredited college or university for required experience, or substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work with independent judgment and analysis for one (1) year.

Desired or Preferred Qualifications

Proven experience and proficiency with computer and software skills (e.g., Workday, Salesforce, Microsoft Office, Google Workspace Tools).

Experience in tracking expenditures, invoicing, billing, and related budget and fiscal processes with FMIS Platform.

Experience coordinating logistical details and managing executive level events/meetings.

Experience providing guidance and responding to inquiries from external/internal customers.
