We are seeking a highly organized, proactive, and professional
Executive Assistant
to support a dynamic executive leadership team based in Boca Raton, Florida. This role requires strong administrative, communication, and coordination skills, along with the ability to manage competing priorities in a fast-paced environment. The ideal candidate resides within driving distance of our Boca Raton office and thrives in a hybrid work environment with a strong in-office presence.
Executive & Administrative Support
Provide high-level administrative support to approximately five senior leaders
Manage complex calendars, meeting schedules, and travel arrangements
Coordinate internal and external meetings, including preparation of agendas and materials
Screen calls, emails, and correspondence; prioritize and route as appropriate
Draft, edit, and format professional documents and presentations
Office & Operations Support
Serve as a key point of contact between executives, internal teams, and external partners
Maintain organized electronic and physical filing systems
Assist with expense reports, reimbursements, and administrative tracking
Support office logistics and executive workspace needs
Event & Partner Coordination
Coordinate leadership meetings, offsites, board meetings, and company events
Work with vendors, venues, caterers, and external partners
Manage contracts, timelines, and budgets related to events
Ensure flawless execution of meetings and events
Technology & Productivity
Utilize Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) at an advanced level
Prepare presentations, reports, and spreadsheets
Maintain confidentiality and secure handling of sensitive information
Qualifications Required
5+ years of experience as an Executive Assistant or Senior Administrative Professional
Proven experience supporting multiple executives
Advanced proficiency in Microsoft Office Suite
Strong organizational, time management, and multitasking skills
Excellent written and verbal communication skills
Professional demeanor and high emotional intelligence
Ability to work in-office at least 4 days per week
Resides within commuting distance of Boca Raton, FL
Preferred
Experience in healthcare, professional services, or corporate environments
Event planning or meeting management experience
Experience working with private equity, boards, or senior leadership teams
Familiarity with CRM, project management, or document management tools
