
JOB DESCRIPTION
The Marketing Project Coordinator supports the successful planning, coordination, and execution of marketing projects from intake through completion. This role partners closely with the Lead Project Manager to ensure projects are clearly defined, properly scheduled, well-documented, and delivered on time and to standard. The Marketing Project Coordinator serves as a key point of coordination between teams, helping maintain alignment, communication, and accountability across the project lifecycle.
This position reports to the Lead Project Manager.
ESSENTIAL JOB FUNCTIONS
Assist with project intake by supporting scope definition, goals, timelines, and deliverables in collaboration with stakeholders and the Lead Project Manager
Help translate project requests into organized tasks, schedules, and documented requirements
Support prioritization and sequencing of work to align with departmental goals and capacity
Develop, update, and maintain project schedules to ensure milestones and deadlines are met
Coordinate deliverables across teams, channels, and stakeholders to support timely execution
Schedule and support project meetings, including preparing agendas, notes, and follow-up items
Facilitate clear communication between internal teams, stakeholders, and project leadership to ensure alignment and accountability
Prepare and maintain accurate project documentation, including project plans, timelines, status updates, meeting notes, and change requests
Provide regular project status updates to the Lead Project Manager and stakeholders, identifying progress, risks, and issues
Utilize and remain current with the Marketing Department’s project management system (PMS) and related tools
Track project resources, including personnel, assets, and materials, as needed to support execution
Maintain organized project files and documentation in accordance with department standards
Assist in identifying potential project risks and support mitigation efforts in partnership with project leadership
Monitor deliverables to help ensure work meets established quality standards and requirements
Support issue resolution by escalating concerns appropriately and assisting with follow-through
Perform project-related administrative tasks, including correspondence, file organization, and documentation maintenance
Perform other related duties as assigned

QUALIFICATIONS

Proven ability to support multiple concurrent projects, manage competing priorities, and meet deadlines in a fast-paced environment
Demonstrated experience assisting with project intake, including scope definition, task organization, timelines, and deliverable tracking
Strong organizational skills with the ability to maintain accurate project documentation, schedules, and status reports
Experience facilitating communication between cross-functional teams and stakeholders to ensure alignment and timely delivery of work
Working knowledge of project management or project tracking software, with the ability to quickly learn and adapt to new systems
Ability to identify project risks, escalate issues appropriately, and assist with resolution in partnership with project leadership
Detail-oriented with strong follow-through, problem-solving, and quality-control skills
Strong verbal and written communication skills, including the ability to provide clear project updates and documentation
Professional appearance and conduct, with excellent interpersonal skills and a service-oriented attitude
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and related collaboration tools
EDUCATION & EXPERIENCE
Bachelor’s degree in marketing, communications, business, or related field preferred, or equivalent work experience
Minimum 2 years of experience in project coordination, project support, or administrative project management within a marketing, creative, or operations environment
