As a Human Resources Specialist, you will play a vital role in supporting the HR department and ensuring the smooth functioning of various HR processes. You will be responsible for assisting with recruitment, onboarding, offboarding, employee relations, and other HR-related tasks. Your attention to detail, strong organizational skills, and ability to maintain confidentiality will contribute to the overall success of the HR operations.
Key Responsibilities Administrative
Assists with onboarding employees and reviewing new hire paperwork.
Launches and tracks employee trainings and the Employee Handbook using Mineral.
Performs and monitors pre-employment background and DMV checks for applicable companies.
Ensures I-9 Forms are accurately completed and interacts with all entities for discrepancy resolution.
Submits New Hire information for E-Verify approval.
Coordinates, prepares, and processes status changes, transfers, and separations.
Assists in the implementing of changes to standard operating procedures standards. Creates SOPs with AI software.
Maintain employee records and ensure accuracy and confidentiality of all HR-related documentation.
Serves as the primary interface to manage, direct, and coordinate inbound communications – email, phones, and other communication systems.
Assist with the processing of payroll, commissions, and employee expense reimbursements.
Perform audits as needed/directed to ensure compliance.
Take minutes and record happenings in meetings to provide documentation for employee files and other records.
Human Resources Information System (HRIS)
Responsible for Master Data File maintenance to ensure system accuracy.
Completes data entry in HRIS (UKG) for all new hires, status changes, transfers, pay rate changes and separations for all corporate entities.
Inputs and tracks training certifications, I-9 expiration dates, average hours, etc.
Process Support
Provides a positive customer service experience for all levels of employees.
Assist with employee relations matters, including addressing employee inquiries, resolving conflicts, and providing guidance on HR policies and procedures.
Support HR initiatives, such as performance management, employee engagement, and talent development programs.
Maintains UKG Message Center and approves applicable benefit messages for new hires and qualifying events.
Collaborate with the HR team to continuously improve HR processes and contribute to a positive work environment.
Other
All other job duties as requested including but not limited to, perform special projects and tasks and assisting in other HR related areas.
Must demonstrate the highest level of professionalism, confidentiality, integrity, and respect for candidates, team, and business partners.
Provides a positive customer service experience for all hiring managers and associates.
Attends department and focus group meetings.
Adherence to company policies and procedures including the employee handbook.
Desired Education, Skills, and/or Qualifications
Associate degree required, or equivalent combination of education and experience of 2 to 3 years in compensation and benefits, payroll, or human resources. Bachelors’ degree preferred.
Education (Preferred) Associates or better in Human Resource Administration or related field.
Bachelors or better in Human Resource Administration.
Physical Requirements While performing the duties of this job, the employee is regularly required to sit; use hands and fingers to handle or feel; talk or hear. The employee is required to stand and walk. The employee is occasionally required to reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by his job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to focus.
