We are looking for an Intake Specialist to join our Conflicts and Intake team. In this role, you will be a key player in the intake and workflow process for new clients and matters, ensuring accuracy and compliance throughout. You’ll have the opportunity to work closely with attorneys and multiple business teams, gain exposure to high-profile matters, and contribute to the efficiency and integrity of our client onboarding process in a dynamic, collaborative environment.
Responsibilities
Navigate the intake and workflow process for new clients and matters, including tracking approvals and ensuring receipt of all required documentation.
Review engagement letters for accuracy and elevate issues as needed.
Ensure client and matter information is accurately entered and maintained in the firm’s financial and matter management systems.
Perform data integrity tasks, including opening and closing client matters, updating records, and processing data management requests.
Monitor and respond to requests in the intake inbox, handling inquiries promptly, and escalating complex issues when appropriate.
Communicate proactively with the conflicts team, billing department, Legal Executive Assistants (LEAs), and attorneys regarding outstanding intake matters and status updates.
Assist with daily maintenance of client and matter information to ensure compliance and accuracy.
Support special projects and other related tasks as assigned.
Qualifications
1–3 years of experience in conflicts and/or client intake, preferably in Big Law or a similar environment.
Working knowledge of conflicts clearance processes and matter intake workflows.
Excellent written and verbal communication skills with a strong customer‑service orientation.
High attention to detail and ability to manage multiple priorities under tight deadlines.
Ability to exercise sound judgment and maintain confidentiality in handling sensitive information.
Familiarity with matter management and financial systems; experience with conflicts databases preferred.
Flexible and team‑oriented, with the ability to work extended hours during peak periods.

Salary range based on experience level and location is estimated to be in the range of $55,000-65,000.
