
Transaction Coordinator
The Transaction Coordinator plays a vital role in ensuring smooth, compliant, and stress-free real estate transactions. This position supports agents, clients, and all parties involved by managing documentation, deadlines, and communication throughout the buying and selling process. The ideal candidate is detail oriented, highly organized, and thrives in a fast-paced environment where accuracy and client care are paramount. Key Responsibilities Document Management Review all contracts and documents for accuracy, including dates, initials, broker information, and signatures Upload and maintain files in Dotloop, ensuring broker compliance Prepare disclosures, amendments, addenda, and executed documents for distribution to all parties Client & Agent Support Create seller and buyer packets Schedule showings and gather feedback from showing agents to communicate to sellers Send congratulations emails to clients Introduce yourself and your role to clients, agents, loan officers, and title companies Coordination & Communication Coordinate final walkthroughs, inspections, repairs, estimates, and appraisals Facilitate communication between agents, clients, loan officers, and title companies Maintain constant contact with all parties to provide status updates and flag outstanding items Ensure deadlines are tracked and met Compliance & Oversight Monitor contract terms for compliance Ensure files meet broker standards Supply executed documents to clients, loan officers, and title companies Required Qualities Attention to detail Strong organizational skills Excellent communication abilities Proficiency in real estate software and technology Knowledge of local real estate laws and regulations Essential Skills Advanced organizational and time management skills Excellent written and verbal communication Deadline tracking and multitasking capabilities Contract interpretation and compliance understanding Customer service orientation Problem-solving and critical thinking As a Transaction Coordinator, you'll be the backbone of our office operations---ensuring every transaction runs smoothly, clients feel cared for, and agents can focus on building relationships.
