Qualifications - Required
Bachelor’s Degree in Human Resources, Business, or related field preferred or an equivalent combination of certifications, education, and experience
3 to 5 years of related professional experience, public school setting preferable
Knowledge of and direct experience with employment and municipal laws and regulations
Detail‑oriented with strong organizational, time management, and interpersonal skills
Excellent computation, written and verbal communication skills
Proficient using data to guide professional practices, make decisions, and when making recommendations for improvement
Proficient with Microsoft Office suite, particularly EXCEL and WORD, Google Suite, and other computerized HR information systems such as MUNIS or School ERP Pro, Talent Ed Applicant Tracking and Records, Frontline Absence Management, and other HRIS systems.
Ability to work collaboratively to address concerns and resolve conflict in a professional, courteous manner
Commitment to confidentiality and proper maintenance of sensitive employee information
Current authorization to work in the United States by the first day of employment
Physical Demands Physically capable of carrying out the daily responsibilities of the office including (but not limited to): consistent attendance; stand; walk; use hands to manage tools and equipment; reach with hands and arms; stoop, kneel, and sit for prolonged periods at a desk while working on a computer. The employee must occasionally lift and/or move up to 20 - 30 pounds.
Position Overview The HR Specialist is responsible for monitoring the fundamental administrative tasks within the human resources department. Organize, coordinate and carry out human resource department functions, projects, systems, and processes for the district. Work directly with and assist the human resources director to fulfill a variety of necessary HR tasks, including hiring, contract administration, employee accommodations, and employee separation. Maintain employee personnel personnel files and track data using HRIS software. Help maintain positive employee relations and work to ensure positive user experience with HR processes and systems.
Roles and Responsibilities
Assists with development and communication of personnel procedures and employee handbooks
Administers the district’s background check program including submission and review of CORI reports, and review of suitability letters or national fingerprinting reports
Prepares, distributes, and files collective bargaining agreements and individual employment contracts
Oversees internal posting and processes paperwork to hire for advisors, coaches, summer schools, and other part time and/or temporary assignments
Assist principals with recruiting, hiring, placement, onboarding, and tracking of short and long term substitutes and student teachers and interns
Maintains, tracks, monitors, and processes staffing information, including but not limited to seniority, professional teacher status, educator licensure status, professional development (PDP), employee lane change, terminations, assurance letters, vacation and sick leave buyback, etc.
Assist with maintenance of employee personnel records, ensuring compliance with personnel file maintenance policies and regulations
Initiate electronic personnel actions and ensures status changes are communicated to the Deputy Superintendent and payroll and benefits in an accurate and timely manner
Conducts regular surveys and assessments to measure employee satisfaction and engagement and analyzes feedback to identify trends and areas for improvement
Assist with development and implementation of employee performance management system for non‑certified employees
Maintains Human Resource Departments website
Serve as key liaison with payroll and benefits department, and municipal human resources and benefits department
Ensures that employee profiles in the Student Information System (ASPEN) are correct and up‑to‑date
Respond to employee requests for loan forgiveness program documentation, employment verification, etc.
Assist municipal HR staff with administration of unemployment and workers compensation programs; receive, track, and notify appropriate parties of employee injury and incident reports
Provides administrative support to the Director of Human Resources, including supply and equipment ordering, and monitoring of HR department budget
Generates reports and lists outlined in the CBAs.
Serves as general help desk support and first point of contact for employee inquiries
Strives to support a high performing, cohesive, customer service oriented team environment.
Communicates information timely, frequently, and in a professional manner to the Human Resources Director and other administrators and Brookline staff.
Assists the Human Resources Director with administrative duties and projects as needed
