
We are seeking an exceptional Traveling Personal Assistant to support a high-net-worth individual with a fast-paced, travel-heavy lifestyle. This is a highly service-oriented role for someone who is calm under pressure, impeccably organized, and deeply resourceful, especially while traveling internationally. The ideal candidate moves seamlessly between white-glove service, complex logistics, and personal assistance, anticipating needs before they arise and executing with discretion, polish, and confidence. This role requires flexibility, stamina, and a genuine passion for hospitality and service excellence.
Compensation
commensurate with experience: 150k base range + discretionary bonus + fully paid medical benefits, 401k match + 2 weeks’ vacation + 5 sick days
Location:
Primarily New York City (Manhattan) & Greenwich, CT, with frequent domestic and international travel ( private jet travel, not commercial )
Schedule & Flexibility
Work non-traditional hours, including evenings, weekends, holidays, and extended travel periods as required (on the road up to 6 months/year – maximum time away from NYC at once is 2 months over the summer – not on every day!)
Key Responsibilities
Deliver attentive, anticipatory service to the principal, family, and guests with warmth, professionalism, and discretion Provide hands‑on support with daily routines, wardrobe management, packing/unpacking, errands, and ad‑hoc personal requests Coordinate and support private dinners, events, and entertaining, ensuring flawless execution and presentation Manage complex domestic and international travel logistics, including private and commercial flights, ground transportation, accommodations, and itineraries Oversee all travel documentation and contingencies, including passports, visas, customs requirements, and medical documentation Handle luggage coordination and travel prep end‑to‑end while on the move Demonstrate exceptional resourcefulness abroad – sourcing specialty items, last‑minute services, trusted vendors, and local solutions in unfamiliar countries Support medication management and medical logistics, including timely refills and coordination with healthcare providers and pharmacies Work collaboratively with household staff and family office partners to ensure smooth operations across multiple residences Maintain the highest level of confidentiality and professionalism at all times
Qualifications
Minimum 5 years of experience in a private household, family office, estate, or luxury hospitality environment Proven background combining high‑level service and personal assistance Extensive experience coordinating complex travel, ideally including private aviation, yachts, and five‑star hospitality Exceptionally organized with strong attention to detail and the ability to multitask calmly High emotional intelligence, sound judgment, and impeccable discretion Tech‑savvy with strong proficiency in calendar management, communication tools, and basic reporting Highly adaptable, resourceful, and unflappable – able to pivot seamlessly as needs evolve Valid passport with the ability to travel extensively without restriction Valid driver’s license; ability to drive internationally preferred Physically capable and energetic; must be able to lift up to 50 lbs.
