Position is a hybrid schedule 8:30am-5pm remote M/T/W/F, come in 1x a week on Thursdays. Must be able to come onsite Thursdays and for events as needed in the southern CA area. Position is both coordinating onsite meetings and events from onsite leadership meetings to hosting small conferences onsite or attending conferences and setting up booths etc. Healthcare or Non-profit experience would be a huge plus. Entertainment industry not preferred as COH's events are healthcare/medical focused. Need to have strong communication, administrative and organizational skills. Examples of events: hosting small onsite conferences, attending offsite conferences, managing Leadership meetings such as Governance Relationship Team, Office of the Board meetings, Rose Parade float 9managing volunteers for float decorating & media coverage). Candidates need a min of 3 years in a professional event planning profession Healthcare or Non-profit preferred.

Interviews: First Round virtual interview, Second Round: onsite interview (take a tour of the campus, then panel interview with the team).

Role Description The Event Producer is responsible for planning and executing sponsorship events nationwide, ensuring alignment with City of Hope's mission, vision, values, and culture. Given the varying scale and scope of these events, the role requires exceptional organizational skills, attention to detail, and a commitment to excellence. Reporting to the Conferences and Sponsorships Manager, the Event Producer will deliver high-quality, innovative events that support the organization's strategic goals.

This role centers on developing, managing, and advising while working closely with internal and external stakeholders to build excitement and deliver an exceptional event experience for participants. In partnership with the Manager, this team member will develop and execute a comprehensive sponsorship strategy, establish objectives and key performance indicators to measure success, and create post-event reports to strengthen the City of Hope brand. Additionally, they will work to build a center of excellence that ensures a consistent experience across all locations, while overseeing and managing the divisions expenditures and costs. The Event Producer will occasionally provide support to the Conferences division and the broader Events and Engagement Department.

This individual must consistently provide exceptional client service and demonstrate outstanding communication skills. They will need to collaborate effectively with managers, directors, and executive leadership while frequently traveling to sponsorship events and conferences to ensure their success and stay informed on emerging industry trends.

Essential Functions

Create, develop, and deliver exceptional experiences that enhance audience engagement and distinguish City of Hope, with the goal of expanding its national reach through sponsorships.

Research and analyze potential sponsorships to expand City of Hopes visibility amongst key audiences and build relationships with external organizations and institutions.

Collaborate with stakeholders to define marketing material requirements, execute experiential activations, and ensure brand consistency across the entire sponsorship portfolio.

Responsible for sourcing and applying technologies to create interactive elements that maximize audience engagement.

Accountable for overseeing project initiation, execution, closure, and strategic planning for future initiatives.

Oversee the resolution of challenges, mitigation of risks, and execution of key initiatives for sponsorships.

Lead cross-functional initiatives and collaborate seamlessly with stakeholders at all levels of management.

Oversee relationships with external organizations, vendors, contractors, venues, and consultants.

Create briefings to ensure all event participants are fully informed and prepared for their involvement in the sponsorship.

Manage and reconcile budgets for the sponsorships division.

Establish success by creating key performance indicators that align with strategic goals and objectives.

Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan. Practices a high level of integrity and honesty in maintaining confidentiality.

Performs other related duties as assigned or requested.

Position Qualifications

Minimum Education: Bachelors Degree

Minimum Experience: 3-5 years of event planning experience

Preferred Education Event Planning and Management, Marketing, Communications, or Hospitality degree preferred
