Executive Assistant to CEO and Co-Founder of High-growth AI Startup

AI platform enabling organizations deploy high-impact initiatives is looking for an Executive Assistant to support their Co-Founder CEO. Founded by prominent tech leaders and backed by top-tier investors, this is an exciting opportunity to join a fast-scaling company of 85 employees building something truly unique. In this role, you'll be managing the CEO's calendar with a strategic focus on his time and energy by serving as a gatekeeper to filter requests, handle communications with high-level stakeholders, prepare for meetings with briefings, agendas, and context, coordinate frequent travel, and handle admin/ops tasks including approving and paying invoices, processing payments, and running payroll. Someone who is highly responsive, able to keep track of multiple priorities, and is a proactive problem solver who thrives at anticipating needs and looking around corners. Experience with stakeholder management and supporting an externally-focused CEO or C-Suite, at a high-growth startup, VC, or similar fast-moving environment is a must. This is a hybrid role, 3-4 days/week (Monday-Wednesday required), based in downtown San Francisco. Must be responsive and available after hours. 170-190K+ DOE + equity, premium benefits, 401k, unlimited PTO, and daily meals.

Responsibilities

Manage the CEO's complex calendar with strategic focus on his time and energy, balancing back-to-back meetings with high-level stakeholders. Thoughtfully protect his calendar and serve as a gatekeeper to filter incoming requests.

Provide proactive problem-solving to detect scheduling conflicts, overlapping meetings, and potential issues.

Handle a high-volume of communications with high-level stakeholders and officials, ensuring quick response with polish and professionalism to represent the Executive.

Prepare the CEO for meetings with detailed briefings, agendas, and context, collaborating with the Business Operations team to align on content.

Coordinate frequent domestic and international travel, including detailed itineraries.

Handle admin and ops tasks, including approving and paying invoices to contractors and vendors, processing payments, running payroll, and additional tasks to support the CEO as the company evolves and scales.

Qualifications

5+ years of senior-level Executive Assistant experience supporting a CEO or C-Suite at a high-growth, fast-moving startup, VC firm, law firm, or similar environment.

Previous experience supporting an externally-focused, public-facing executive is preferred.

Strong executive presence with experience in high-level stakeholder management and relationship coordination.

Strategic with a growth mindset who will thoughtfully provide time and energy management for a busy Executive.

Responsive and quick with the ability to handle immediate requests and high-pressure situations calmly.

Highly organized and meticulously detail-oriented. Ability to keep track of multiple threads and moving pieces without dropping balls.

Receptive and open to constructive feedback.

Proactive problem-solver who catches issues before they arise and anticipates needs.

Comfortable handling confidential high-level information with discretion.
