We are seeking a positive, energetic, committed individual to join the library's administrative team, providing leadership, strong interpersonal skills for the continued development of our vibrant and vital library system. The ideal candidate will bring experience, maturity, and a strong sense of responsibility to help maintain a safe and secure library environment. We are looking for someone with a “can‑do” attitude—motivated, dependable, and committed to delivering exceptional library service. The successful candidate must be organized, flexible, and responsive to the fast‑paced, ever‑changing needs of daily library operations.
This is a permanent, 40‑hour‑per‑week position with regular Friday and Saturday shifts.
Essential Job Functions I. Leadership, Governance, and Administrative Support
Acts on behalf of the Library Director and Assistant Director in their absence, assuming administrative and decision‑making authority.
Participate as a member of the administrative team to develop and support library services, policies, and procedures.
Helps develop, revise, and implement library policies, procedures, and service standards.
Participates in long‑range planning and coordinates special projects or organizational initiatives.
Provides oversight of daily library operations to ensure smooth, consistent service across all departments.
Will provide direct administrative support to the Circulation Department, Technical Services Department, and the Petal Branch.
Helps improve internal communication and coordination across departments to support library‑wide goals.
Serves as a role model to staff in consistently following library policies and procedures.
Serves as supervising librarian as needed, including some evenings and Saturdays.
Performs other duties as assigned in fulfillment of the library’s mission.
II. Community Engagement, Outreach, and Representation
Leadership in Community Outreach
Leads the library’s system‑wide efforts to reach, engage, and serve diverse user populations within the community.
Analyzes community needs and identifies cost‑effective programming resources to meet those needs.
Promotes interest in the library as a vital community resource by visiting and speaking to schools, civic groups, social organizations, and other external partners.
Serves as the primary point of contact for community groups, organizations, and individuals seeking outreach services
Program Development and Delivery
Plans, develops, organizes, coordinates, promotes, and directs cultural, civic, informational, and recreational programs intended for adult audiences.
Collaborates with existing partners—and establishes new partnerships—to deliver and promote programs and services, including outreach to schools, underrepresented communities, special populations, senior facilities, homebound patrons, and the business community.
Designs and produces program and promotional materials tailored to target audiences.
Coordinates communication with performers, presenters, and program providers; prepares registration materials; schedules required staff and volunteers; and compiles evaluation data and service statistics for the Director.
Marketing, Promotion, and Public Visibility
Promotes library resources, services, and programs using a variety of media platforms, communication channels, and public engagement strategies.
Represents the library at community events, civic meetings, outreach activities, and professional gatherings as assigned.
Maintains strong, positive working relationships with city and county departments, partner organizations, local agencies, vendors, and contractors to support outreach and promotional efforts.
External Relations, Partnerships, and Development
Supports fundraising initiatives, donor relations, and grant‑related activities when applicable.
Strengthens the library’s visibility and community connections through sustained partnerships, public presence, and responsive outreach strategies.
Acts as the primary liaison to the Friends of the Library group, ensuring strong communication, collaborative project planning, shared goals, and effective coordination of Friends‑supported programs and initiatives.
Assists the Friends of the Library with financial processes that intersect with the library’s operations, including coordinating purchases, ensuring proper documentation, communicating financial needs or obligations, and facilitating smooth financial transactions between the Friends group and the library.
III. Financial and Resource Management
Serves on the financial management team.
Assists the Director with processing invoices and handling Accounts Payable, ensuring accurate coding, documentation, and timely submission of all financial obligations.
Assists in preparing and monitoring expenditures.
Assists in maintaining and digitally archiving documents—including invoices, statements, reconciliations, and supporting records—in accordance with library policy and records‑retention requirements, ensuring organized, accurate, and accessible files.
V. Technology, Systems, and Operations Support
Assists with planning, implementing, and maintaining library technology, digital services, and integrated library systems (ILS).
Helps oversee operational processes, workflow improvements, and service efficiency across departments.
VI. Staff Development, Supervision, and Support
Supervises assigned departments, including training, scheduling, evaluating, and supporting staff and managers.
Provides guidance, coaching, and leadership to staff to advance library goals and maintain excellent service.
VII. Professional Expectations
Uses a personal vehicle for library business and maintains the vehicle in roadworthy condition in compliance with state law; maintains automobile insurance and provides proof to the library as requested.
Qualifications
Candidates must have a Masters of Library Science from an ALA accredited program. Library must receive an official transcript mailed from the institution.
Candidates must have a minimum of four years of public library experience.
Candidates must have a minimum of two years of library administration experience.
Candidates must demonstrate a positive and enthusiastic commitment to providing excellent public library service for this community.
Candidates must have strong interpersonal skills.
Candidates must be able to communicate clearly, diplomatically, and in a friendly and positive manner with people from diverse ethnic, socioeconomic and cultural backgrounds.
Candidates must have current working knowledge of PCs in a Windows environment, and of innovations, trends and applications in library technology. Knowledge of and experience with SirsiDynix library automation or a similar system is desirable.
Conditions of Employment
Must complete DHS I‑9 verification at the time of hire and present acceptable documentation of legal employment eligibility.
Employment is contingent upon successful reference and background checks, including education, employment history, and criminal record verification.
Must operate within library policies to support daily operations.
