Group Sales and Catering Manager

This role is accountable for maximizing guest room revenue, banquet food & beverage revenue, and meeting room rental income while ensuring exceptional guest service standards. The position works closely with all hotel departments to deliver seamless group and event experiences that enhance the hotel’s reputation within the business and social communities.

WHAT YOU'LL DO:

SALES & REVENUE GENERATION

Meet or exceed monthly and annual group room night and catering revenue goals.

Prospect and solicit new group and banquet business through cold calls, outside sales, networking, and referrals.

Maintain and grow relationships with corporate, association, SMERF, and social clients.

Respond promptly to all inquiries (same business day when possible).

Conduct site tours and client meetings.

Host clients at the hotel, so they can experience outlets firsthand

Negotiate group contracts, banquet agreements, and pricing within approved guidelines.

Evaluate business for profitability and alignment with hotel strategy.

Monitor competitor pricing and market trends.

Represent the hotel at community events, trade shows, and industry functions.

Develop and execute a strategic sales action plan.

CATERING SALES & EVENT MANAGEMENT

Manage all catering sales for meetings, social events, and local functions.

Determine guest needs including space requirements, room setup, menus, audiovisual, and special requests.

Upsell food & beverage offerings and enhancements.

Prepare and distribute accurate Banquet Event Orders (BEOs) and Group Resumes.

Review contracts prior to client distribution.

Conduct pre-event meetings with internal departments.

Perform event walkthroughs prior to guest arrival.

Maintain personal contact with clients during events.

Ensure proper introduction of banquet service staff.

Send thank-you correspondence and follow up on feedback.

Secure repeat and referral business.

GROUP SALES MANAGEMENT

Manage group blocks under 50 rooms per night (or as assigned).

Monitor room pick-up, cut-off dates, attrition, and cancellation policies.

Coordinate rooming lists and special room requests.

Collaborate with Front Office to ensure seamless group arrivals and departures.

Forecast group pace and contribute to revenue management discussions.

Personally meet with VIP guests and clients to ensure their needs are met and to gather feedback.

ADMINISTRATIVE RESPONSIBILITIES

Prepare weekly sales activity reports.

Maintain accurate sales records and documentation.

Assist in budget preparation and forecasting.

Attend departmental and interdepartmental meetings.

Design plans and materials for promotions and public relations

Make outside sales calls and tele market to obtain business.

Generate “thank you” notes to clients after functions with prompt follow-up of negative client feedback as necessary

STAFF LEADERSHIP & COLLABORATION

Interact in-person with F&B Manager, Chef, and operational leaders to ensure event success.

Ensure service standards are upheld.

Promote teamwork and positive morale.

Participate in training initiatives related to sales, service excellence, and safety.

TRAINING & COMPLIANCE

Maintain knowledge of fire regulations, safety procedures, and emergency protocols.

Ensure compliance with hotel policies and brand standards.

WHAT WE NEED:

Minimum 3 years of progressive hotel sales and/or catering experience.

At least 2 years in a Group Sales, Catering Sales, or similar role preferred.

Bachelor’s degree in hospitality, Business, Marketing, or related field preferred.

Experience in a full-service or select-service hotel environment preferred.
