Job Opening:

Director of Data and Prospect Management The Director of Data and Prospect Management partners with frontline fundraisers to build and maintain Brebeuf Jesuit’s pool of current and potential donors while serving as the departmental leader for Advancement data operations and financial data integrity.

This role combines strategic prospect research and portfolio management with operational oversight of data infrastructure, gift administration workflows, reporting systems, and audit compliance. The Director manages relationships with fundraising and engagement teams across Alumni Relations, Development, Capital Campaign, and the President’s Office, ensuring that prospect strategy and revenue operations are aligned, accurate, and data-informed.

The Director serves as a strategic advisor, systems leader, and compliance steward, ensuring the integrity, usability, and ethical handling of Advancement data.

DUTIES/RESPONSIBILITIES Note: The following list of responsibilities is not exhaustive. Others may be assigned, subject to reasonable accommodations.

Conducts proactive and reactive prospect research by gathering, analyzing, and synthesizing financial, biographical, philanthropic, and relational information-using tools such as wealth screenings, research databases, data-mining platforms, news and financial feeds, and relationship-mapping resources-to assess capacity, affinity, engagement potential, compliance, and reputational risk

Partner with assigned fundraising teams to manage and optimize their portfolios-leading portfolio reviews and strategy meetings, advising on prospect lifecycle, portfolio strength, metrics, and identifying opportunities and gaps while ensuring consistent and ethical data handling

Contribute to data-quality and data-analysis projects that strengthen the overall integrity of prospect data and provide summaries and trends to support forecasting, pipeline assessment, and strategic decision-making. Develop, document, and maintain database procedures, business rules, and workflow standards to ensure continuity, institutional knowledge, and audit readiness

Serve as departmental lead for Advancement data operations within Blackbaud Raiser’s Edge, ensuring data integrity, consistent coding standards, and adherence to established policies and financial controls

Produce clear, accurate research deliverables-including profiles, capacity estimates, and analytical summaries-to support prospect identification, qualification, and strategic fundraising decisions

Contribute to the refinement of prospect management policies, business processes, and overall approaches to prospect development

Oversee gift processing workflows in collaboration with the Advancement Support Specialist, ensuring timely and accurate entry, acknowledgment, and documentation of all gifts, pledges, stock gifts, matching gifts, gift-in-kind contributions, and restricted funds

Lead annual database maintenance initiatives, fiscal-year transitions, and year-end rollover processes to ensure historical accuracy and reporting continuity

Collaborate with colleagues across all departments -including development and business office to support shared goals and improve prospect development practices and gift recordings

Oversee fund transfers and reconciliations, supporting accurate financial reporting, audit preparation, and annual endowment reporting in collaboration with the Business and Development Offices; manage all fund transfers and fund reconciliations to ensure consistent fund balances between Advancement and Business Office databases; assist Business Office with all reports and gift data needed for the annual audit; assist Director of Development and Business Office on accurate endowment fund reporting on an annual basis

Supervise and provide training, guidance, and performance management for the Advancement Support Specialist, ensuring adherence to established gift processing timelines, donor acknowledgment standards, and financial controls

Serves as key compliance officer monitoring gift administration policies and procedures for adherence to new guidelines given by IRS and/or auditors; ensures proper restriction documentation for all gifts and serve as liaison for the annual audit, providing gift information and reimbursement grant information for the filing of Form 990.

Generate and distribute weekly, monthly, and custom reports for the Advancement and Business Offices

Fulfill list and report requests for fundraising campaigns, appeals, donor recognition, and events

Onboard and support new fundraising officers and support staff by providing training and guidance on Brebeuf Jesuit products, policies, processes, research tools, and relevant data-management systems

Performs other duties as assigned

QUALIFICATIONS

Successful completion of a full four-year course of study in an accredited college or university leading to a bachelor's degree or higher; OR appropriate combination of education and experience

Two (2) years development, marketing, sales or the equivalent experience is required

Ability to gather information from multiple sources including technical, financial, or research findings identifying relevant patterns, filtering extraneous details, and compiling findings into clear, actionable summaries

Effective written and verbal communication skills, including the ability to summarize and present information clearly for non-technical audiences

Ability to exercise sound judgment when evaluating data quality, relevance, and ethical considerations; strong acuity in handling sensitive and confidential information

Ability to work effectively with fundraising partners and cross-functional teams, ask clarifying questions, and provide guidance grounded in data and shared goals

Knowledge of financial and audit accounting procedures and IRS regulations preferred
