Role Overview The Proposal Manager supports business development by owning the coordination of deliverables and deadlines for the proposal development process. Reporting to the Director of Competitive Insights and RFP Response, this role ensures all RFP, RFI, and Security/Compliance requests are accurate, compliant, and submitted on time.

Key Responsibilities Proposal Lifecycle Management

Oversee all phases of the proposal timeline from initial receipt to final submission.

Interpret and analyze complex RFP requirements, instructions, and evaluation criteria.

Contribute to proposal strategies and participate in business development meetings to align submissions with organizational goals.

Identify critical compliance elements to ensure all responses are fully compliant and competitive.

Manage the timely submission of proposals within established timelines and budgets.

RFP Program Management

Assist in the end-to-end RFP process, including intake, eligibility, win strategy solidification, and executive reviews.

Own the proposal calendar and deliverables to ensure stakeholder alignment and deadline adherence.

Act as a primary liaison between internal teams, clients, and vendors to facilitate effective communication.

Collaborate with cross-functional leadership (Sales, Marketing, Product, Engineering, Finance) to gather technical specifications and information.

Facilitate kickoff sessions, intake meetings, and proposal reviews to secure internal approvals and strategic alignment.

Support sales teams with custom responses for RFIs, security questionnaires, and related documentation.

Assign and track responsibilities to ensure timely contributions from all subject matter experts.

Track and report on proposal performance metrics, including win/loss rates and cycle times.

Present findings in monthly KPI decks to leadership.

Lead post-mortem reviews to identify lessons learned and implement process improvements.

Create and maintain program management process documents, proposal templates, and budget sheets.

Maintain a central repository of proposal content and standard responses for consistency and efficiency.

Manage version control and organized documentation for all internal and external reports.

Qualifications & Skills

Experience:

2–4+ years in proposal management, program management, or business development.

Project Management:

Strong ability to manage multiple assignments and develop detailed timelines with minimal supervision.

Analytical Skills:

Demonstrated capability to analyze complex requirements and synthesize information into clear responses.

Communication:

Excellent written and verbal skills for facilitating executive-level meetings and coordinating diverse teams.

Technical Proficiency:

Experience with

Loopio ,

Salesforce , and

GSuite

(Sheets, Docs, Slides).

Environment:

Proven ability to thrive in a deadline-driven, "sales-first" environment with a high sense of urgency.

Education:

Bachelor’s Degree in business, a technical field, or a related area is preferred.
