
Event Specialist

Michael Best is seeking an Events Specialist to support the goals of the firm’s Events Planning team by producing high-quality in-person and web events, as well as coordinating sponsorship opportunities. The position is located out of Michael Best’s
Chicago, Denver, Washington D.C., Austin, Los Angeles, Raleigh, Charlotte, Milwaukee, or Waukesha office .
The Events Specialist will work closely with the marketing and communications management team, as well as Michael Best’s internal and external clients to successfully plan, execute, and track firm events and sponsorship opportunities. This position requires strong customer service, a collaborative mindset, an orientation toward hospitality, and the effective application of organizational and time-management skills. The events specialist position manages several high-value projects at once; strategizing, implementing, and elevating the experiences at Michael Best events; supporting onsite and offsite events; and may be required to work extended hours and over weekends.
Responsibilities
Lead firm events from conception to execution, coordinating logistical event aspects including but not limited to venue, theme, event program, food and beverage, entertainment, event briefings, etc.
Manage budgets, communications, and reporting of the events they lead.
Manage event mailing lists, invoicing, scheduling meetings, organizing documents for reference, and sourcing promotional items
Resolve any issues that arise prior to and during the course of the event
Develop and maintain relationships with firm colleagues, as well as external suppliers to ensure optimal pricing, quality, service levels, and event experience
Work closely with the AOMs to identify, evaluate, and onboard vendors and suppliers, monitoring performance and addressing any issues that may arise in getting approved by the building and a COI on record
Track all event marketing equipment such as signage, easels, booth, tablecloths, etc.
Travel to local, regional, and national keystone events as necessary
Ensure compliance with all company policies and procedures
Responsible for coding all invoices and receipts to the appropriate budget
Qualifications
Bachelor’s degree in business, hospitality, marketing, or a related field
5+ years of experience on a fast-paced, Events Planning team
The ideal dynamic candidate will be detail-oriented, highly organized, efficient, and customer service-oriented with a demonstrated desire to exceed expectations
Strong negotiation skills and the ability to build and maintain vendor relationships
Willingness to adapt and learn in a fast-paced environment
Excellent analytical and problem-solving skills, ability to take directional cues directly or indirectly
Excellent written and oral communication skills
Advanced Microsoft Office skills including Word, Excel, PowerPoint, Outlook
Customer Relationship Management (CRM) system experience preferred
Well-versed in organizing and tracking a budget
