What We're Looking For Crystal Stairs is looking for an experienced Intake Specialist. Under limited supervision, the Intake Specialist will determine family eligibility and help parents eligible under the California subsidized child care programs gain access to child care programs and services. This vital position maintains cases as well as the certifying and re‑certifying of family eligibility. The specialist will certify and authorize care hours, update family information, approve changes, issue referrals, provide quality customer service for all clients and internal support departments, ensure accurate and timely data entry, perform childcare orientations at county/government Regional Offices, conduct site visits, and represent the agency at community events. Other duties as assigned.

Responsibilities

Process initial request for child care and assist parents and providers in completing application

Monitor program compliance and ensure documentation is appropriate and complete

Determine eligibility and handle enrollment of families qualified for subsidized child care

Respond to staff and parents requests for information or services; provide supportive and referral services to families regarding child care options and other community resources

Perform childcare orientations at county/government Regional offices, One-Stop/Work-Source Centers; act as a liaison with agencies

Perform data entry function for initial enrollment and prepare client file

Conduct outreach activities at Job Fairs and other events

Conduct weekly site visits to various locations

Provide monthly statistical reports on activities

Represent the agency at community events; participate in work groups, committees and ad hoc groups

Meet assigned specific performance standards for the respective unit and/or department

Perform other duties as assigned by Supervisor/Manager

Experience, Knowledge, Skills and Abilities You Should Possess

Minimum two years of experience in case management or client/vendor management in a human services or child development environment

B.A. or B.S. degree from an accredited four‑year university or equivalent work experience

Strong time management and organizational skills

Ability to prioritize work

Excellent written and oral communication skills

Excellent customer service skills and experience with a diverse client base

Ability to handle multiple projects and meet deadlines

Ability to apply program guidelines and follow procedures

Ability to maintain confidentiality

Ability to work independently with minimal supervision; strong attention to detail and ability to multi‑task

Special Requirements

Must have a valid Driver License

Must have an auto vehicle with auto insurance
