
Assistant Property Manager

We are seeking an Assistant Property Manager on a full-time basis based in our Santa Monica headquarters. The position is ideally suited for a highly motivated, detail-oriented individual with a strong property management background, and solid work ethic. This individual should have the desire to be a part of an entrepreneurial company and work closely with tenants and third-party vendors. The candidate will be a key participant in the property management process, managing buildings, problem solving and documentation. This position will report to the ownership.
Residential property management experience not acceptable for this position.
Duties and Responsibilities
Conduct consistent property visits and inspections to make sure properties are well-maintained and building systems are fully functional
Handle all communications with tenants, including composing and distributing memos, attending monthly meetings to address any concerns/requests and to ensure satisfaction
Answer correspondence from tenants, vendors, and suppliers
Provide recommendations and implement changes for property improvements
Assist in determining CAM expenses and in the review of CAM reconciliation and collection
Prepare annual budgets and monitor actual expenses to ensure budgets are met
Ensure a competitive bidding process and thorough review of project scope and costs
Review and approve operating expenses in accordance with company policies and procedures
Review, code, and approve invoices. Ensure that invoices are received and paid in a timely manner
Submit required reports timely and participate in periodic property status meetings with detailed and accurate information
Analyze property financials and performance metrics in pursuit of maximizing revenue and minimizing expenses
Read, interpret and negotiate contracts, leases, lease amendments and other legal documents
The ideal candidate will have the following qualifications and experience A minimum of two (2) years of direct property management experience in commercial real estate assets is required
Experience with Yardi is required
Travel to properties is required
Good understanding of contracts and leases
Skilled in customer service and tenant relations
Ability to initiate bid requests, vendor and contractor management
Ability to work in a fast-paced work environment which requires communication and decision-making skills.
Solid time management skills with the ability to prioritize, organize and successfully balance multiple tasks and requests
Knowledge of percentage rent and tenant sales data is helpful
Strong independent work skills with the ability to think like an owner.
