
Sales Support Specialist

A well-established, privately owned industrial equipment company in Kansas City is seeking a Sales Support Specialist to play a key role in supporting order processing, vendor coordination, and customer account management. This is a highly visible support position within a stable organization that has been in business for over 35 years.
This role works directly with an Account Manager to help manage proposals, purchase orders, shipping coordination, and customer communication across a busy sales territory. The environment is fast-paced and detail-driven, and success in this role requires strong organization, responsiveness, and the ability to manage multiple priorities while maintaining accuracy.
This position is ideal for someone who thrives in a structured, operationally focused sales support role and enjoys working behind the scenes to ensure customer orders and logistics run smoothly.
Responsibilities
Assist the Account Manager with proposal preparation, order entry, and purchase order processing
Manage order processing from quote through shipment, including confirmations and documentation
Communicate with customers and vendors via phone and email to ensure timely fulfillment of orders
Track vendor shipments and coordinate carriers (UPS, LTL, etc.) for outgoing deliveries
Prepare shipping documentation and monitor shipments through delivery
Coordinate returns and manage claims for lost or damaged shipments
Maintain accurate records and update customer information in the internal database
Scan and organize documentation including quotes, drawings, and customer correspondence
Monitor open orders and follow up with vendors to ensure documentation is complete for invoicing Assist with inventory tracking and communicate low parts inventory when necessary
Support packing and shipping activities when needed and record tracking information
Provide general administrative and operational support to the sales team
Answer incoming calls and route inquiries to the appropriate team member
Assist with special shipping requests, costing inquiries, and credit requests when needed
Qualifications
2+ years of experience in a customer-facing role such as customer service, order processing, sales support, or inside sales
Experience handling purchase orders, order entry, shipping coordination, or logistics strongly preferred
Strong attention to detail and organizational skills
Ability to manage multiple priorities in a fast-paced environment
Excellent verbal and written communication skills
Strong customer service orientation and professionalism
Comfortable working with data entry and internal systems
Proficiency in Microsoft Office or similar software tools
Ability to collaborate effectively with internal teams and vendors
Schedule
Monday–Thursday: 7:30 AM – 4:30 PM
Friday: 7:30 AM – 4:00 PM
