Overview The Associate Director, Student Services manages student services for the Office of Graduate Studies within the College of Liberal Arts and Sciences (CLAS), from the creation of student records and initial enrollment through graduation, with a particular focus on student retention. This role coordinates onboarding for all graduate students in the college, maintains student records and adjustments, and provides training and oversight to the Assistant Directors of Student Services in the HRD and MPA programs. It serves as a liaison between the departments, the Graduate Studies Office, and the Office of Online Programs.
Responsibilities
Manage student services and enrollment processes from initial enrollment to graduation; monitor enrollment, registration, and academic status indicators to identify risks to retention and progression.
Onboard initiatives; create and maintain student records in the Student Information System (SIS).
Collaborate with admissions, athletics, OUS, and departments to resolve enrollment barriers; review transcripts and degree verifications.
Act as liaison between Graduate Studies Admissions staff and Student Services staff in HRD and MPA; oversee training for Assistant Directors of Student Services.
Process student records adjustments, drops, adds, withdrawals, leaves of absence, and reinstatements in coordination with departments and the Registrar’s office.
Coordinate combined bachelor/master programs with Program Directors and the Director of Graduate Studies.
Manage Transfer of Credit processes and retention-related data management; oversee degree auditing and reporting in collaboration with the Registrar’s office.
Process applications for comprehensive examinations, language examinations, and qualifying portfolios; notify results and coordinate posting to transcripts and degree tracking systems.
Manage tuition reduction processes in collaboration with the Bursar’s Office; ensure discounts are reflected appropriately.
Oversee student files management and provide strategic planning for student support and retention using enrollment and progression data.
Coordinate strategic planning efforts for student support and retention; support census review and SIS record cleanup each term.
Supervise the Senior Enrollment Coordinator; oversee enrollment, tuition discounts and remission.
Oversee degree auditing for all Grad CLAS programs and manage exceptions to support policy changes.
Graduation Certification and Certificate Awarding/Processing
Record unofficial transcripts and certify degree and certificate awards for approximately 500 students per year.
Utilize degree audit data to identify at-risk students and coordinate outreach with programs.
Distribute and collect Survey of Earned Doctorates for PhD candidates; coordinate thesis/dissertation approvals and notify Registrar’s Office to post titles on transcripts.
Certify graduates and notify the Registrar’s Office about degree issuance and posting; prepare and mail certificates as needed.
Student Programming
Organize student service programming to foster connection, belonging, and engagement to support graduate student retention and success.
Collaborate with the Graduate Center on student programming; assist with communications for events and newsletters; plan and coordinate the Annual Research Symposium and other programming initiatives.
Provide support and advisement to the Associate Director of Admissions.
Other
Perform other duties and assist with projects as assigned; participate in events throughout the year (Graduate Open Houses, Information Sessions, Admitted Student Day, Orientation, Graduation) with occasional evenings and weekends.
Assist in strategic planning and coordination of graduate student workers.
Minimum Qualifications
Formal Education: Undergraduate degree required.
Work Experience: 5-7 years of progressively responsible experience in higher education.
Work Skills: Excellent written and oral communication; self-starter with excellent interpersonal skills and tactful problem-solving.
Specific Job Knowledge: Ability to multitask and meet deadlines with accuracy and efficiency.
Preferred Qualifications
Formal Education: Master’s degree preferred.
Specific Job Knowledge: Proficiency in Microsoft Office; experience with Banner Student Record System.
Physical Requirements and Work Hours
Tools, machinery and equipment: Computer, fax, photocopier/scanner, phone.
Physical requirements: Occasional light lifting; sitting for extended periods.
