Parts Specialist (Counter Sales)
is responsible for assisting contractors and trade professionals with mechanical and HVAC controls product selection, order entry, and customer service at the sales counter. This position plays a critical role in ensuring accurate order fulfillment, strong customer relationships, and efficient operations in support of delivering an exceptional customer experience.
This role is located at our storefront in downtown Indianapolis, IN.
What you'll do:
Support and execute all aspects of the parts program, including pricing, ordering, shipping, receiving, inventory tracking, merchandising, and warranty administration.
Greet and engage customers such as contractors and technicians to build strong relationships and create a customer-focused service environment.
Listen to customer needs and recommend appropriate equipment, parts, accessories, or related products to support project requirements and increase sales opportunities.
Process customer orders accurately, confirm product availability, provide delivery or pickup timelines, and oversee order fulfillment through completion to ensure customer satisfaction.
Respond to customer inquiries and basic technical questions, assisting with troubleshooting common HVAC or equipment-related issues.
Identify opportunities to upsell or cross-sell complementary products and promote current product offerings or promotions.
Maintain inventory accuracy by receiving, inspecting, stocking, and tracking parts, supplies, and equipment; assist with loading and unloading shipments as needed.
Maintain an organized environment, including product displays, storage, and accessibility of inventory.
Maintain detailed and accurate documentation related to inventory, warranties, customer interactions, and sales transactions.
Follow safety protocols and proper product handling procedures to ensure compliance with company and industry standards.
Participate in ongoing training to maintain knowledge of product lines, systems, and service offerings.
Perform other related duties as assigned.
Required skills, knowledge, and abilities:
High School Diploma or equivalent is required, associate's degree preferred.
2+ years of HVAC, electrical, or wholesale distribution experience.
Fundamental understanding of commercial HVAC and building technology systems, preferred.
Experience managing various data types, navigating software systems, and interfacing with key stakeholders.
Ability to work in a fast-paced, dynamic environment with minimal supervision.
Excellent critical thinking, problem-solving, and time management skills.
Proven customer service skills with the ability to interact over the telephone and in person in an extremely professional, positive, knowledgeable, and helpful manner to maintain high customer service standards.
Must have strong experience in Microsoft Word, Excel, PowerPoint, Outlook, Internet and the ability to be trained in various other systems.
Ability to be on call as needed for after-hours emergency customer requests.
Must possess and maintain a valid driver's license and an acceptable driving record in accordance with company policy.
Physical Demands:
Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry parcels, packages and other items, to walk short distances, stand for extended periods of time, and drive a vehicle to deliver and pick up materials.
Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Must be able to maintain a professional appearance.
May be required to satisfy requirements imposed by specific projects, customers, or company.
Must be able to use hand tools, laptop, email, smartphone, and tablet.
Must be able to carry and move equipment and tools weighing 25 pounds unassisted, and up to 50 pounds occasionally.
Qualified applicants must be legally authorized for employment in the United States without the need for employer-based sponsorship currently or in the future.
Pre-hire requirements include a drug test, a driving report, evidence of insurability and a background check.
