Summary/Objective The Bid and Proposal Specialist is responsible for leading and managing the bids and proposals process, and ensuring compliance with client requirements and organizational standards. This role partners with Regional Managers and the Director of Bid and Proposal to drive business development initiatives, optimize proposal strategies, and support contract portfolio growth. Essential Functions · Lead and oversee the proposal lifecycle from initial opportunity identification through submission, ensuring timely and accurate delivery. · Manage and maintain opportunities within the NetSuite CRM, including status updates, key milestones, and critical dates. · Analyze and review proposal requirements, coordinating with internal stakeholders (Regional Managers, Finance, HR, Insurance, etc.) to gather and validate necessary data. · Facilitate and lead bid meetings with internal stakeholders, including pre-bid, bid review, and post-bid sessions. · Ensure compliance with all RFP specifications and organizational standards throughout the proposal process. · Coordinate and secure bid bonds and performance bonds as required. · Prepare and submit comprehensive bids and proposals through electronic or hardcopy channels. · Conduct post-bid analysis, including win/loss evaluations, and provide actionable insights for continuous improvement. · Support strategic business development activities, including vendor applications and customer onboarding documentation. · Develop and disseminate bid/proposal metrics and performance reports to leadership and back-office teams. · Monitor bid boards and proactively identify new business opportunities aligned with organizational goals. · Collaborate with the Director of Contracts to ensure timely submission of rate adjustments and renewal bids. · Participate in customer performance reviews and contribute to contract portfolio development strategies. · Engage in regional sales meetings and provide subject matter expertise on bid and proposal best practices. · Lead special projects and initiatives as assigned by the Director of Bid and Proposal. · Project and contract management expertise. · Strategic Attention to detail with skills in identifying patterns, anticipating challenges, and understanding cause-and-effect relationships in project outcomes. · Advanced Analytical and Communication Skills with the ability to analyze data, craft persuasive proposals, and communicate effectively in writing and verbally. · Cross-Functional Leadership skills with the ability to confidently engage with senior leadership, field managers, and external stakeholders to influence decisions and drive results.
