
Legal Executive Assistant, San Rafael

A well‑established organization in San Rafael is seeking an Executive Assistant to support multiple litigation attorneys within its Government and Political Law practice. This is a full‑time, on‑site position supporting a high‑volume, fast‑paced team. The ideal candidate thrives in environments where attention to detail, complex scheduling, and proactive support are essential.
Responsibilities
Provide comprehensive support to senior partners and attorneys, including complex calendaring, travel coordination, project management, marketing assistance, and expense reporting
Manage incoming calls, communication flow, and internal coordination across departments
Maintain documents, files, and records with accuracy and confidentiality
Serve as on‑site support to ensure smooth daily office operations
Scheduling & Office Coordination
Handle high‑volume scheduling, calendaring, and meeting coordination
Assist with cross‑office collaboration and provide back‑up support to administrative colleagues
Anticipate attorney needs and proactively follow up on deadlines and priorities
Technology & Document Support
Utilize Microsoft Office (Outlook, Excel, PowerPoint), Adobe Acrobat, and document management systems
Quickly learn new software and adapt to internal systems
Assist with document formatting, proofreading, and ensuring compliance with firm standards
Qualifications
Two or more years of experience in an administrative, executive assistant, or legal support role
Strong written and verbal communication skills with the ability to interact professionally with attorneys, staff, clients, and vendors
High attention to detail with the ability to manage multiple priorities simultaneously
Ability to work efficiently under pressure in a fast‑paced environment
High level of discretion, professionalism, and integrity
Experience with NetDocuments or similar systems preferred
Familiarity with legal, government, or campaign environments is a plus
Work Environment On‑site role in San Rafael with free parking and a collaborative, supportive work culture. Eight‑hour workday with flexible start and end times.
