Job Description
POSITION SUMMARY
The Activities Director leads and manages the athletic and co-curricular program at the high school, providing direction to athletic, instructional, and activity programs. Responsibilities include training and mentoring coaches, scheduling and coordinating athletic events, and assisting administration in maintaining a wholesome, balanced program that emphasizes academic achievement.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Organize and administer Extra-Curricular and Co-Curricular programs; plan, schedule, and oversee intramural and interscholastic events (day, evening, and weekend).
- Lead the selection, assignment, training, and evaluation of head coaches and athletic staff; recommend potential staff members.
- Coordinate schedules with other school activities and programs; assume responsibility for all interscholastic event scheduling.
- Develop and enforce rules governing interscholastic activities; verify athlete eligibility per Board policy and VHSL guidelines.
- Prepare and administer the interscholastic budget; manage accounts, insurance forms, equipment requisitioning, inventory, and repair.
- Maintain complete program records (eligibility, insurance, equipment, awards, rosters, finances, physicals); prepare and submit required reports.
- Coordinate event preparation: facilities, temporary personnel (ticket sellers, police, officials, medical), transportation, concessions, and crowd control.
- Arrange athletic trainer and/or medical doctor at all home contests; liaise with maintenance regarding playing facilities.
- Hire officials; coordinate all ticket sales and fund-raising events; supervise field and gym schedules.
- Act as tournament manager for all VHSL league and playoff activities.
- Serve as liaison between the principal and coaching staff, coaches and parents, and athletic staff and booster club.
- Schedule rooms and facilities for student and community activities; ensure adequate supervision and protection of property.
- Develop and implement a written annual plan for public relations regarding athletic and student activities.
- Ensure adherence to all VHSL district and regional rules; maintain state/national licensure and attend professional development meetings.
- Develop and implement strategies to promote extracurricular programs using social media, school websites, and other communication channels.
- Create and distribute engaging digital content highlighting student participation, accomplishments, and upcoming events.
- Monitor activities-related social media accounts per division policies; evaluate outreach efforts and adjust communication strategies.
- Support a positive school culture by promoting school spirit, community engagement, and recognition of student achievements.
- Model non-discriminatory practices in all activities. Perform other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
- Thorough knowledge of high school athletic regulations, including VHSL rules and school division procedures.
- Ability to organize and manage a high school athletic program and supervise/train coaching staff.
- Excellent organizational, leadership, and communication skills; ability to maintain accurate records and prepare reports.
- Considerable knowledge and experience in budgeting and purchasing.
- Ability to establish and maintain effective working relationships with students, parents, staff, and the public.
EDUCATION AND EXPERIENCE
- Collegiate Professional License with appropriate endorsement required; Post Graduate Professional License with Administration and Supervision endorsement preferred.
- Master's degree in a related field or Certified Athletic Administrator (CAA) certification preferred.
- Five (5) years of successful teaching and/or administrative experience preferred.
SUPERVISION Exercised: Supervises athletic coaches and staff. Received: Reports to the Building Principal.
PHYSICAL DEMANDS / WORKING CONDITIONS
Work occurs in typical school settings (classrooms, gymnasium, cafeteria, auditorium, outdoor areas). Requires extended sitting and standing; frequent walking; lifting up to 25 lbs. regularly and 50–75 lbs. occasionally. Must be able to operate a computer, read printed and digital materials, communicate verbally, and travel with students as needed. Regular contact with staff, coaches, parents, and medical professionals is required.
