Job Summary A Prospect Management Analyst works collaboratively as one of the many data-driven team members in the University of Utah Office of Advancement, a unit dedicated to serving main campus, University of Utah Health, and numerous affiliated organizations and institutions. Our mission is to generate engagement and philanthropic support to advance the university’s priorities in key areas for students, faculty, patients, and researchers.

The primary function of a Prospect Management Analyst is to:

Champion the values of Collaboration, Belonging, Empowerment, and Integrity, which are essential to a successful prospect management system;

Encourage donor centric and One U behavior across the University advancement community;

Capture cross-campus collaboration, planning, and activity tracking within University Advancement prospect management system (Salesforce);

Partner closely with gift officers to optimize portfolios to increase donor engagement and gifts;

Synthesize data sets and maintain data integrity to provide accurate reporting;

And ensure continuity and quality customer service between campus areas, University of Utah Health and University Advancement.

Responsibilities Support to Gift Officers (40%)

Conduct regular meetings with gift officers as they cultivate and solicit prospective donors to track engagement activity in Salesforce in accordance with University Advancement policies and procedures

Serve as liaison to connect gift officers with appropriate resources within University of Utah Advancement Office, providing frontline support and triaging questions and concerns

Assist gift officers in entering donor engagement data through plans and contact reports in a timely manner to ensure accurate, real-time reflection of fundraising activity

Collaborate within Central Prospect Management on prospect strategies to advocate for data-driven models to support portfolios that are focused, dynamic, and sustainable, leading to successful fundraising

Demonstrate comprehensive understanding of the prospect management system, policies, procedures, and best practices to inform, guide, and support gift officers

Encourage cross-campus collaboration to help develop prospect strategies to increase donor engagement and gifts

Assist in tracking and reporting performance metrics that are aligned with Leadership’s objectives for donor qualification, engagement, solicitation, and gift outcomes

Work closely with the Prospect Research team to identify potential prospects for priority projects

Data Analysis, Integrity, and Entry (40%)

Assist in analyzing data sets to create clear reports and dashboards that inform donor engagement strategies and measure performance metrics

Regularly perform data integrity audits on records in Salesforce to ensure accurate prospect information, donor engagement activity, and related data for accurate reporting

Assist with entering opportunities and related data into the prospect management system to track funding requests and to support fundraising activity metrics

Regularly review solicitation plans in the prospect management system, focusing on those above an established dollar threshold and/or involving multiple fundraising areas

Regularly review and confirm prospect manager assignment requests by considering all data within the prospect management system to make informed, strategic portfolio assignments

Support broader Central Prospect Management team in data entry updates as needed

Strategic Partnership & Conflict Resolution (15%)

Serve as a critical partner across University Advancement in situations such as potential cross-campus conflicts, timing issues, donor fatigue, or opportunities for coordinated strategy

Model confidentiality and impartiality in all circumstances; be a champion for University Advancement’s strategic goals, the One U Philosophy, and the interests of our donors

Other Duties as Assigned (5%) Minimum Qualifications: Requires a Bachelor’s degree in a related area of assignment or equivalency (one year of education can be substituted for two years of related work experience); two years of related experience. Demonstrated human relations and effective communication skills required.

Preferences

Experience with and understanding of nonprofit and/or higher education fundraising

Experience in cross-collaboration with key stakeholders

Experience using Salesforce or similar CRMs

Track record of providing excellent customer service to stakeholders

Demonstrated competency with data sets, data hygiene, and data maintenance

Experience with presenting or providing guidance on technical and policy information to individuals and groups

Demonstrated ability to strategize and resolve conflicts in and with small groups
