Position Summary This recruitment will fill 4 part‑time Conference Assistant positions within the Event Services Unit at Oregon State University – Cascades, located in Bend, Oregon. Conference Assistants play a critical role in delivering high‑quality service to external conference clients, youth programs and campus partners. This position provides frontline customer service at the residence hall desk, supports conference check‑in and check‑out processes, carries the conference duty phone during assigned shifts and assists with facilities, housing, and event operations including furniture moving. Conference Assistants work closely with Event Services, Residential Education & Housing (REH), Dining Services, Facilities, and conference clients to ensure smooth daily operations.

Critical Thinking, Teamwork, Professionalism Position Duties

Customer Service and Operations:

Serve as the primary point of contact for conference guests during scheduled shifts, addressing questions and resolving minor issues promptly.

Assist with conference check‑ins and check‑outs, including distributing and collecting keys and ensuring guest records are accurate.

Conduct brief orientations for conference groups to familiarize them with campus facilities and policies.

Carry and respond to the housing duty phone during assigned shifts, triaging issues and escalating to professional staff as appropriate.

Program Support:

Monitor event and residential spaces and provide general oversight to ensure smooth operations.

Assist with room preparation and turnover, including light cleaning, furniture moving and resetting of spaces between groups.

Act as a conduit for communication between conference groups and the primary conference coordinator.

Conduct, Safety and Maintenance Support:

Provide business hour coverage for the Summer RAs, assisting with lockouts and minor facilities support requests.

Coordinate with REH staff to ensure prompt issue resolution for guest accommodations.

Administrative Tasks:

Maintain accurate records, such as attendance logs and incident reports, as needed.

Participate in regular check‑ins with the conference coordinator to report on progress and address any emerging needs.

Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study.

Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment.

Must meet the applicable minimal enrollment standard:

High School student: Regularly enrolled in a high school or participating in a home‑schooling program.

Undergraduate and post‑baccalaureate student: 6 credit hours per term.

Undergraduate international student: 12 credit hours per term.

Graduate student officially admitted to Graduate School: 5 credit hours per term.

Graduate international student officially admitted to Graduate School: 9 credit hours per term.

*International students may be allowed to carry fewer hours than specified above and still be considered “full‑time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.* Additional Required Qualifications

Ability to lift 50 lbs. and walk/stand for extended periods.

Demonstrated communication, problem‑solving, and organizational skills.

Ability to be reliable, punctual, and adaptable.

Ability to work independently and collaboratively in a dynamic environment.

Preferred (Special) Qualifications

Be a current full‑time Oregon State University student, OR OSU -Cascades student OR degree partnership student with OSU -Cascades and COCC with a cumulative GPA of 2.50 or higher.

Note: students do NOT need to be enrolled during the Summer 2026 term, but must be enrolled in the Fall 2026 term.

Previous experience in customer service or event operations.

Familiarity with OSU -Cascades campus and surrounding areas.

Possess First Aid/ AED / CPR certification from the American Red Cross or another recognized provider (or willingness to obtain during Spring 2025 training).

Working Conditions / Work Schedule

Spring Term Training:

During the Spring 2026 training period, from April 20 to May 17, this is a virtual part‑time (6 hours per week) position with a set schedule designed to accommodate class commitments.

June 24 In‑Person Training:

Incumbents will participate in a 6‑hour in‑person training with Event Services and REH staff.

Summer Conference Schedule:

Collectively, 4 incumbents will cover shifts totaling 120 hours per week while conference groups are on‑site, 7:00am through 9:00pm, 7 days a week.

Duties include a mix of physical and sedentary tasks, such as standing or walking for extended periods, lifting and moving materials, and working in office or outdoor settings. Incumbents should expect to spend a majority of their hours at the Residence Hall desk performing customer service, preparation for check‑in/out, and other tasks as assigned. During non‑peak hours, incumbents may be allowed to work on homework or other personal tasks that do not interfere with customer service duties.

Work may occur in varying weather conditions and requires evening and weekend availability.

Compensation This position is paid at a standard rate of $18/hour, up to 6 hours/week during the Spring 2026 training period and up to 40 hours/week during the summer conference period. The student employee submits a timesheet for supervisor approval on the 15th of each month and receives their paycheck on the last day of the month.
