Description
The Village School of Naples is seeking a detail-oriented and self-motivated Advancement Associate to support the School's fundraising and advancement efforts. This position is responsible for donor gift processing, database management, record accuracy, and the preparation of fundraising reports and documentation.
The Advancement Associate also assists with special events and development initiatives throughout the year, including the annual gala and golf tournament. The ideal candidate is highly organized, technologically proficient, flexible, and committed to supporting a mission-driven, student-centered school community.
Process and reconcile daily gifts (cash, stock, in-kind, pledges) across all fundraising initiatives (Annual Fund, Campaigns, and Events), ensuring accurate coding, fund allocation, and entry into the constituent relationship management (CRM) database.
Manage pledge tracking within the database, including capital and multi-year commitments; generate pledge reminders, payment schedules, and documentation to ensure accurate receivables reporting and donor stewardship.
Design, generate, and analyze weekly, monthly, and annual fundraising reports using CRM reporting tools and Excel; provide customized data reports for the Development Team, Business Office, Head of School, and Board of Trustees.
Maintain database integrity through regular audits, data imports, record updates, duplicate management, and year-end reconciliation; lead beginning-of-year and end-of-year data cleanup processes to ensure data accuracy and compliance.
Conduct donor prospect research using WealthEngine and other online research platforms; analyze wealth screening data and prepare briefing materials to support cultivation and solicitation strategies.
Support event management systems by coordinating data integration between the CRM and event/auction software; assist with registration tracking, sponsorship management, seating assignments, and post-event reconciliation.
Build, manage, and maintain auction platform data, including item entry, catalog production, sponsorship records, ticketing, images, and online bidding configuration for silent and live auctions.
Configure and monitor online bidding systems in support of the annual gala, ensuring accurate item tracking, bidder setup, and reporting functionality.
Collaborate cross-functionally to ensure accurate data flow between development, finance, and administrative systems.
Perform other duties as assigned in support of the Development Office and School initiatives.
Requirements
Bachelor's degree in a related field or equivalent work experience required.
Experience with Blackbaud, Raiser's Edge, or other CRM systems; familiarity with C‑Suite reporting and executive-level communications preferred.
Ability to multi‑task and prioritize effectively in a fast‑paced, dynamic environment.
Advanced knowledge of social media platforms and digital communication tools.
Strong writing, editing, and data presentation skills for reports, donor communications, and executive updates.
Demonstrated ability to work independently and collaboratively within a team.
Professional and ethical standards for handling confidential information and maintaining data integrity.
Flexibility to work evenings and weekends as needed for events and fundraising activities.
Physically able to sit, walk, stand, and lift up to 50 lbs. without assistance.
