The Production Coordinator plays a key role in supporting these values through efficient workflow alignment and exceptional cross-department communication. Position Summary The Production Coordinator supports ILLING’s operational excellence by planning, coordinating, and monitoring production schedules to ensure timely, accurate, and efficient delivery of customer orders. This role serves as a central communication hub between Production, Purchasing, Sales, Customer Service, and Logistics, helping drive seamless workflow, resolve scheduling challenges, and contribute to a superior customer experience. This role requires a proactive, detail-oriented individual who thrives in a fast‑paced environment and demonstrates a strong sense of ownership and accountability.

Key Responsibilities

Production Scheduling & Workflow Coordination: Build, maintain, and communicate daily/weekly production schedules based on sales orders, forecasts, capacity, and material availability. Ensure priorities between Sales and Production remain aligned by coordinating order timing and expectations. Adjust schedules proactively to accommodate equipment downtime, labor constraints, material shortages, or high-priority orders. Maintain accurate ERP/MRP scheduling data, production documentation, work orders, and revision updates. Provide clear and timely schedule communication to Sales, Customer Service, Logistics, and Operations. Partner with leadership to identify and implement process improvements that support higher efficiency, quality, and on-time delivery.

Logistics & Purchasing Support: Work closely with Purchasing and Inventory teams to confirm material readiness for scheduled production. Create and manage purchase orders for materials, decoration supplies, and departmental needs from entry through receipt. Distribute production and logistics paperwork to Production, Warehouse, and other stakeholders to ensure smooth handoffs. Maintain existing vendor relationships and help develop new supply or logistics partnerships as needed. Support the creation or refinement of shipping, receiving, and material handling procedures to optimize workflow.

Sales & Customer Service Alignment: Create, manage, and maintain Decorated Agreements (DAs). Serve as a primary operational contact for Sales and Customer Service to ensure customer expectations and project requirements are clearly understood and properly communicated. Support new customer programs, product launches, and sales initiatives in coordination with Sales and Operations leadership. Assist office operations during peak times or staff shortages to maintain service excellence.

General Operations & Cross‑Functional Support: Support company quality, safety, and continuous improvement initiatives through consistent implementation and communication. Foster positive working relationships with customers, partners, vendors, and team members. Help improve cross‑functional workflows that enhance coordination between Sales, Purchasing, and Production teams. Serve as a backup for cycle counting activities as needed.

Other Experience and Qualifications

Strong verbal and written communication skills.

Exceptional organizational skills with high attention to detail.

Ability to prioritize and manage multiple tasks with consistent follow‑through.

Analytical problem‑solving skills with a proactive mindset.

Proficiency in ERP/MRP systems; strong Outlook and Excel experience required.

Experience with lean manufacturing or continuous improvement methodologies is a plus.

Education & Experience: Prolonged periods working at a desk using a computer. Standard office environment with occasional exposure to warehouse or production areas. Ability to lift up to 25 lbs when necessary. Occasional travel may be required.
