Job Description

The

Document Management Specialist

provides essential support to the Property Management Department and reports directly to the Scanning Project Supervisor. This dynamic role involves directing the scanning and coding of electronic and paper commercial real estate legal documents, identifying and organizing legal documents, and monitoring and reporting on changes in a shifting regulatory environment.

Responsibilities

Lead and direct team members in the appropriate coding of documents once identified. Identify and code documents for key departments (e.g., legal, tax, internal audit, real estate, risk management, maintenance, accounting). Identify and classify critical real estate documents for retrieval, including leases, amendments, deeds, and easements. Maintain computerized and hard copy commercial real estate documents and coordinate document management. Lead the migration of legal documents using electronic document storage software, ensuring compliance with legal and regulatory requirements for digital file management. Comply with AutoZone's record and retention policy, advising on the retention of documents. Perform other duties as assigned, adapting to evolving business, contract, and regulatory needs. 1-2 years of experience in recognizing and reviewing various types of commercial real estate documents (e.g., lease, purchase contract, amendment, easement, restriction, encroachment, title policy, warranty deed, and closing statement). Juris Doctor degree is a plus Experience working with title company Familiarity with OCR/PDF functionality. Familiarity with document management systems is aplus About Autozone
