Position Overview We are seeking a highly organized and detail-oriented Sales Coordinator
to support our Building Management Systems (BMS) sales team. This role is essential in maintaining sales pipeline visibility, coordinating project information, and ensuring smooth communication between sales, engineering, and operations. The ideal candidate thrives in a fast-paced environment, enjoys keeping teams aligned, and excels at managing information flow. Key Responsibilities
Maintain accurate opportunity and customer data within the CRM
Track project pursuits, bid dates, proposal submissions, and award status
Support sales forecasting and pipeline reporting
Sales-to-Operations Turnover
Prepare and organize turnover documentation for awarded projects
Ensure operations teams receive complete scope, pricing, and project assumptions
Assist with internal project kickoff documentation
Meeting Coordination & Notes
Attend internal sales meetings and capture minutes and action items
Distribute summaries and track follow-up tasks
Assist with proposal tracking and customer follow-ups
Monitor proposal status and upcoming bid opportunities
Support scheduling and coordination of customer meetings
Internal & External Communication
Facilitate communication between sales, engineering, estimating, and operations
Support professional communication with general contractors, engineers, and building owners
Maintain organized sales documentation and shared project information
Qualifications
2+ years of experience in sales coordination, construction administration, or project support
Experience with CRM platforms (Salesforce, HubSpot, Microsoft Dynamics, etc.)
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
High attention to detail and ability to manage multiple priorities
Proficiency in Microsoft Office (Excel, Word, PowerPoint)
Preferred Experience
Building Automation / Building Management Systems (BMS)
HVAC Controls or Mechanical Construction
Engineering or Construction Support roles
Salary Range: $70,000–$90,000 , depending on experience and qualifications.
