Assistant Property Manager (Retail & Industrial Portfolio) — Massachusetts Location:

Position Summary The Assistant Property Manager supports the day-to-day operations of a retail and industrial property portfolio throughout Massachusetts. This role assists with tenant relations, lease administration, vendor coordination, site inspections, financial tracking, marketing platform support, and operational oversight across shopping centers, strip retail properties, warehouse, and light industrial assets.

The ideal candidate is highly organized, responsive, and interested in building a long-term career in commercial real estate, with hands‑on exposure to retail tenant needs and industrial building systems.

Key Responsibilities Tenant Relations (Retail & Industrial)

Serve as a primary contact for tenant service requests and follow‑up.

Coordinate and track work orders and maintenance issues.

Support retail tenants with storefront, signage, and common area concerns.

Support tenant move‑ins, build‑outs, and move‑outs.

Assist in monitoring tenant insurance compliance and lease obligations.

Lease Administration & Renewals

Track lease critical dates, including renewals, expirations, notice periods, and rent changes.

Assist with renewal outreach and coordination in partnership with senior property management and leasing teams.

Support the preparation and distribution of renewal documentation, notices, and tenant communications.

Maintain updated lease abstracts, renewal status trackers, and tenant files.

Coordinate execution workflow for renewal documents and ensure completed documents are properly stored.

Marketing Platform Support (Digital)

Assist in maintaining and updating existing property marketing platforms and tools, which are primarily digital.

Keep tenant rosters, property details, photos, and site information current across online listings and internal marketing systems.

Coordinate routine updates to property websites, tenant directories, and vacancy postings as needed.

Support leasing and senior management by ensuring marketing information is accurate and consistent.

Help track marketing requests and confirm updates are completed on schedule.

Property Operations & Site Management

Conduct regular property inspections of shopping centers and industrial facilities.

Monitor parking lots, sidewalks, landscaping, lighting, and building exteriors.

Assist in overseeing roof maintenance, HVAC service, dock equipment, overhead doors, and life safety systems.

Coordinate snow removal and seasonal services across multiple sites.

Ensure properties meet cleanliness, safety, and brand presentation standards.

Vendor & Contractor Coordination

Obtain and compare bids for repairs, landscaping, snow removal, lot striping, roofing, and mechanical services.

Coordinate access for vendors and ensure work completion per scope.

Track vendor COIs and compliance documentation.

Assist with small capital projects (façade repairs, lot resurfacing, dock repairs, etc.).

Financial & CAM Support

Assist with invoice coding, purchase orders, and expense tracking.

Support CAM (Common Area Maintenance) tracking and documentation.

Help prepare monthly operational reports and variance notes.

Maintain lease abstracts and key lease term tracking (rent commencement, options, etc.).

Monitor service contracts and recurring expenses.

Compliance & Documentation

Maintain organized property files, service logs, and inspection reports.

Assist with tracking required inspections (fire systems, elevators if applicable, etc.).

Support documentation for property insurance and risk management.

Assist in emergency response coordination when needed.

Qualifications

Serious interest in commercial property management, facilities, construction and related field.

Strong organizational and communication skills.

Ability to manage multiple properties and priorities.

Comfortable interacting with retail operators, warehouse users, and service vendors.

Proficiency in Microsoft Office (Excel, Outlook, Word).

Valid driver’s license and ability to travel throughout Massachusetts.

Preferred

Experienced financial background and/or education.

Exposure to CAM reconciliations and lease administration.

Familiarity with property management systems (Yardi, MRI, AppFolio, Building Engines, Angus, etc.).

Basic understanding of commercial leases and service contracts.

Massachusetts real estate license (or interest in obtaining).
