Description A national conference organization is seeking a Director of Operations to lead the planning and execution of large-scale industry events. This is a fully remote, full-time consulting position supporting Energy Marketing Conference (EMC). The role is highly intensive during the 10–12 weeks leading up to each conference and requires travel for on‑site execution in Houston (Spring) and Washington, DC (Fall), typically 3–4 days per event.
This position is responsible for end‑to‑end operational execution, ensuring seamless conference delivery and fulfillment of all sponsor, exhibitor, and attendee requirements. The Director of Operations will work closely with leadership, including the Principal and Director of Sales and Marketing, to manage logistics, vendors, and timelines at a high level of detail and accountability.
What You’ll Do
Lead full‑cycle planning and execution of Spring (Houston) and Fall (Washington, DC) conferences
Oversee all conference logistics including venue coordination, A/V, catering, signage, registration, and exhibitor setup
Negotiate with hotels and vendors on room blocks, catering, internet, and event‑related services
Manage sponsor and exhibitor deliverables, ensuring all contractual benefits are fulfilled (booths, signage, ads, badges, etc.)
Coordinate with speakers to collect presentations, bios, headshots, and registration details
Oversee Eventbrite registration system, attendee communications, and reporting
Maintain and manage operational systems including mobile app platforms, website updates, and conference materials
Develop and track key operational documents including timelines, trackers, vendor logs, and status reports
Serve as the primary liaison between internal teams, vendors, and venue partners
Provide weekly updates to leadership on progress, risks, and deliverables
On‑Site Responsibilities
Manage all on‑site conference operations including registration desk, exhibitor hall setup, signage, and logistics execution
Coordinate hotel staff, A/V teams, vendors, photographers, and event personnel
Oversee food and beverage execution and overall attendee experience
Handle event breakdown, packing, and post‑event logistics
Post‑Conference Responsibilities
Conduct post‑event analysis and deliver operations report with recommendations for improvement
Ensure all photos, videos, and event assets are properly archived and delivered
Coordinate post‑event communications, including speaker follow‑ups and promotional content
Update website with upcoming conference details and past attendee information
Collaborate with internal teams on post‑event marketing and content distribution
Requirements
Strong project management skills with the ability to manage multiple timelines and stakeholders
Exceptional organization, communication, and follow‑up skills
Ability to work in a fast‑paced, high‑pressure environment with strict deadlines
Willingness to travel for on‑site conference execution (2–3 events annually)
