
Donor Relations Coordinator
The Haven Michigan, Petoskey, MI, United States
This role supports The Haven’s fundraising and donor engagement efforts. As a small nonprofit organization which is one hundred percent dependent on the generosity of donors, The Haven needs an individual who is focused on connecting donors who care with our meaningful mission. This would include executing fundraising initiatives, overseeing special events, processing donor data, building relationships with individuals, corporations, and foundations, and writing grants.
This is a relational, mission-driven position that combines strategy, organization, and communication.
Core Responsibilities Donor Relations & Stewardship
Build and maintain strong, meaningful relationships with donors
Solicit donors on behalf of The Haven
Manage donor communications including thank-you letters, impact updates, and appeals
Conduct donor calls and meetings independently or alongside the Executive Director
Maintain accurate donor records, contact notes, and follow-up plans
Ensure timely, warm, and consistent donor acknowledgment
Support cultivation plans and scheduling for Executive Director
Coordinate all written and online appeals on behalf of The Haven
Oversee all fundraising and donor engagement events, including the coordination of volunteers
Track revenue performance, pledges, and follow-up actions
Identify potential new donor prospects and community partnerships
Monitor fundraising metrics and provide regular reporting
Grants
Maintain a grant calendar and assist with proposal preparation
Gather required program and financial information for applications
Draft or coordinate grant submissions as appropriate
Track reporting deadlines and outcomes
Systems, Reporting & Organization
Maintain organized donor systems and CRM records
Track donor retention, engagement, and campaign results
Prepare reports for the Executive Director and Board
Ensure fundraising processes are ethical, accurate, and reliable
Participate in structured coaching and fundraising training
Meet regularly with the Executive Director for strategy alignment and growth
Contribute to a culture of philanthropy throughout the organization
Represent The Haven professionally in the community
Qualifications Required
Bachelor’s degree or equivalent experience
Strong written and verbal communication skills
Relational, professional interpersonal style
High level of organization and follow-through
Ability to manage multiple priorities
Preferred
Experience in fundraising, donor relations, sales, or relationship-based roles
Familiarity with CRM or fundraising systems
Experience working with volunteers or boards
Work Structure Reports to: Executive Director
Coaching support provided by external fundraising consultant
Schedule: 30 Hours a week
Occasional evening or weekend hours required
Success in this role includes:
Donor communication is consistent, timely, and relational
Fundraising initiatives are executed reliably
Revenue goals (where applicable) are met or trending upward
Donor retention and engagement increase over time
Systems are organized and actionable
The Executive Director is freed to focus on strategic leadership
