What We Are Looking For The Sales Assistant provides administrative and operational support to the sales team, helping keep daily activities organized and running smoothly. This role assists with preparing sales materials, coordinating customer communications, scheduling meetings, maintaining records, and supporting reporting needs. The Sales Assistant works closely with sales, operations, and leadership teams to ensure a positive customer experience and efficient internal processes.

What You'll Do

Prepare and distribute sales materials, proposals, contracts, and customer communications as directed by the sales and leadership teams.

Track deal progress from lead to close, ensuring opportunities move forward and nothing falls through the cracks.

Assist with reporting on sales activity, pipeline, and customer engagement for management review.

Support marketing and outreach efforts, including email campaigns, event invitations, follow-ups, and maintaining customer lists.

Coordinate internally between sales, operations, and customer success to ensure a seamless handoff and positive customer experience.

Maintain organized digital and physical files for customer records, contracts, and internal documents.

Provide front desk and reception coverage as needed, ensuring a professional and welcoming environment.

Identify inefficiencies in administrative and sales processes and recommend improvements.

Anticipate the needs of sales representatives, managers, and leadership, and provide proactive support.

Assist with special projects, presentations, internal communications, and data entry as assigned.

Perform additional administrative and operational tasks to support company growth.

Enter bills and pricing information into internal systems.

Schedule customer meetings, including renewal and account review meetings.

Organize and streamline the sales process, ensuring proposals across multiple products are consolidated for each customer.

Collaborate with internal sales representatives to maintain alignment and communication.

Prepare NG&E contracts and proposals.

Support internal sales meetings through reporting, note-taking, and follow-up on action items.

What You Will Need

High school diploma or equivalent.

1–3 years of experience in sales support, customer service, or an administrative role.

Proficiency in Microsoft Office applications; experience with CRMs.

Strong organizational skills with the ability to manage multiple priorities and deadlines.

Excellent written and verbal communication skills.

High level of attention to detail and accuracy.
